# Octo Media Group — company profile > Octo Media Group specializes in iGaming influencer and streamer marketing. This document records management-supplied business facts and the limits of available historical evidence. Last reviewed: 20 September 2026. ## Business focus Octo works with casino operators, sweepstakes casino operators, affiliate managers and organizations, streamer and talent managers, marketing agencies needing streamer execution, and other companies seeking streamer-led campaign promotion. - [Homepage](https://octomedia.agency/): Company overview. - [Services](https://octomedia.agency/services/): Discuss influencer and streamer campaign requirements. - [Creator information and application](https://octomedia.agency/streamers/): Information for streamers interested in working with Octo. ## Engagements and markets Standard starting campaigns are approximately $10,000. This minimum is negotiable; preferred engagements are $10,000 or more. Confirm deliverables, duration, platform selection, reporting, and commercial terms directly with the team. This profile does not promise a fixed package or a performance outcome. Octo serves legally serviceable global markets except China. Priority acquisition markets are the United States, Canada, United Kingdom, Tier-1 Europe, and the Middle East. Priority status does not establish that a specific gambling product, promotion, audience, or platform is permitted in every jurisdiction. Management states that Octo operates legally in its markets and follows applicable advertising laws. This records management's operating position, not an independent legal opinion. Campaign-specific targeting, age restrictions, disclosure requirements, and platform rules require review before promotion. ## Historical evidence limitations Historical case-study source files, campaign exports, and client permissions were not retained. Exact numbers currently appearing in historical pages must not be treated as independently verified evidence. This profile therefore omits precise historical campaign results, aggregate revenue, retention rates, network size, client lists, and claims of market leadership. The company's evidence policy distinguishes: - Verified claims: underlying source records, a metric definition, and client permission are required before publishing exact results. - Re-confirmed claims: written confirmation by a client or accountable campaign owner without raw source records permits only qualified, rounded or qualitative statements, with the limitation disclosed. - Unsupported historical statements: website copy or recollection alone does not support precise public metrics. Such material can only be retained as clearly labeled historical company-reported narrative without unsupported precision. Historical examples are not expected outcomes, guaranteed results, or industry benchmarks. A new campaign needs its own measurement definitions and evidence records. - [Historical case-study hub](https://octomedia.agency/case-studies/): Company-reported examples subject to these evidence limitations. - [Resources](https://octomedia.agency/resources/): Educational content; verify material data and regulatory statements against supporting primary sources. - [Blog](https://octomedia.agency/blog/): Influencer and streamer marketing articles. ## Related properties Management identifies OctoStreamers as a sister company focused on recruiting streamers. ScamStreamers and ScamAffiliates are advertising placements, not independent endorsements. 99Gamblers is a separate passion project. iGamingSelect is a business-directory relationship, not independent editorial validation. These relationships do not establish campaign performance or market leadership. ## Questions and contact **What does an engagement cost?** Approximately $10,000 is the standard starting point, negotiable; preferred engagements are $10,000 or more. CPA prices approved acquisitions; revenue share exposes payment to future eligible revenue; hybrid combines both. The best commercial fit depends on cash timing, validation risk and the evidence behind your forecast, rather than whichever headline rate looks largest. Affiliate and creator managers comparing competing commercial offers before signing. ### Normalize the offer before comparing rates Start with one row per offer and hold the audience, acquisition month, country, product and reporting currency constant. If one offer counts registrations and another counts approved first-time depositors, the rows are not comparable. Record the actual payable event and who can approve or reverse it. A verbal description of a qualified customer is insufficient for a forecast that determines a creator guarantee. bet365's published terms recognize CPA, revenue share and combinations agreed in writing. That establishes possible structures, not a recommended price. Our editorial approach is to compare each proposed structure using the same assumptions and show every term that prevents a straightforward comparison as an unresolved commercial question. Source: [bet365 Partners — Terms and Conditions](https://www.bet365partners.com/en/termsandconditions) ### Build the cohort and revenue base Use approved acquisitions rather than raw deposit events as the CPA input. For revenue share, use the agreement's commissionable revenue after its defined deductions. Do not substitute total deposits, turnover or a different operator's NGR definition. Choose a horizon long enough to expose the tradeoff you are negotiating, and label future months as forecasts. Keep acquisition volume separate from later cohort activity. A cohort of forty approved customers remains that acquisition cohort when only some are active in a later month. If the forecast uses revenue per acquired customer, keep that denominator throughout. Mixing revenue per active customer with the original acquisition count quietly inflates the expected revenue-share payment. ### Calculate a synthetic break-even point Synthetic example: forty approved acquisitions generate €12,000 of cumulative commissionable NGR over the chosen horizon. Offer A pays €120 CPA, offer B pays 35% revenue share, and offer C pays €60 CPA plus 20% revenue share. The resulting commissions are €4,800, €4,200 and €4,800. These invented terms illustrate arithmetic and are not market benchmarks or available offers. The CPA and pure revenue-share offers meet at approximately €13,714.29 of eligible NGR because €4,800 divided by 0.35 gives that value. Hybrid equals pure CPA at €12,000 in this example. These thresholds assume no carryover, cap, reversal or tier change. Recalculate when any of those conditions applies; a simple calculator cannot interpret a contract. Synthetic offer | Calculation | Commission --- | --- | --- CPA | 40 × €120 | €4,800 Revenue share | €12,000 × 35% | €4,200 Hybrid | 40 × €60 + €12,000 × 20% | €4,800 ### Compare payment dates as well as totals Build a second view showing when commission becomes approved, invoiceable and received. A higher total payable after several months may be unsuitable for a manager funding production immediately. Conversely, early CPA approval does not mean irreversible cash if the agreement permits later adjustments. Keep expected payment and actual receipt in separate columns. GO AFFILIATES publishes a negative-carryover provision, illustrating why the sequence of revenue can matter. Test a weak opening month followed by recovery, as well as the smooth base case. Our recommendation is to reserve enough working capital for contractual payment timing and your own commitments, rather than assuming a revenue-share forecast will fund a fixed creator fee on schedule. Source: [GO AFFILIATES — Terms and Conditions](https://login.goaffiliates.com/public/TC.pdf) ### Stress the assumptions that can reverse the decision Run three commercially plausible scenarios using your own evidence: lower qualification, delayed receipts and lower eligible revenue. Change one assumption at a time first, then combine adverse assumptions. This separates a fragile forecast from an arithmetic error. If small movements repeatedly change the preferred offer, negotiate flexibility rather than presenting one option as clearly superior. For an operator, commission is a cost; for an affiliate, it is income. State which perspective the comparison serves. A creator guarantee, production invoice and agency fee belong in the relevant party's cost model, but should not be silently netted from contractual NGR. Decide who bears each expense and whether it has already been counted elsewhere. ### Turn the comparison into a written decision Attach the chosen model to a term sheet containing qualification rules, revenue deductions, cap treatment, carryover, reporting access, payment currency and a review date. Preserve the forecast version used for approval. A later result should be assessed against the assumptions actually approved, rather than a revised spreadsheet that makes the original decision look better. Confirm market and channel eligibility before pricing delivery. A profitable model cannot authorize a restricted promotion. Use the worksheet to assign unresolved inputs to finance, commercial and compliance owners. The completed decision should explain the preferred offer, the main downside, the cash reserve required and the condition that would trigger renegotiation. This is commercial planning guidance, not a promise of campaign returns. ### Worksheet and questions [Download CSV](https://octomedia.agency/downloads/manager-guides/cpa-vs-revenue-share-vs-hybrid-affiliate-deals.csv) **Is hybrid always safer than revenue share?** No. Hybrid creates an upfront component, but its qualification rules, deductions and reversal terms still matter. Compare downside cash exposure and the contractual treatment of each component separately. **Should I compare offers using deposits?** Only if the agreement explicitly makes deposits the relevant base. Revenue-share calculations commonly use a defined revenue measure; deposits and revenue are not interchangeable. Request a worked statement for the proposed deal. **Can I choose using the highest expected commission?** Expected commission is one input. Add payment timing, forecast uncertainty, reporting access and obligations to creators. For an operator, assess retained contribution after commission, not affiliate income alone. ### Sources - [bet365 Partners — Terms and Conditions](https://www.bet365partners.com/en/termsandconditions): Program-specific commission structure and payment terms; not universal affiliate rules. URL: https://octomedia.agency/blog/qualified-ftd-definition-affiliate-contract/ Language: en Author: Alexei Volkov — https://octomedia.agency/team/alexei-volkov/ A qualified FTD is a first-time depositor who meets the acquisition conditions in the applicable affiliate agreement. A deposit event alone does not establish an earned CPA. Define identity, attribution, eligible market, required checks, thresholds, time limits and approval status before launch, then report observed deposits and approved payable acquisitions as separate measures. Affiliate operations and finance managers agreeing the event that triggers CPA payment. ### Write a definition that can be tested Replace “pay per FTD” with a written rule that another person can evaluate from permitted records. Identify the legal entity, brand, product and definition of a new customer. Ask whether an existing account on another brand changes eligibility. Record the attribution method and window separately from the time allowed to satisfy qualification conditions. TheAffiliatePlatform documentation illustrates that deal conditions can be configured, so a dashboard label does not prove identical rules across accounts. Our editorial recommendation is to turn the signed definition into acceptance cases before traffic starts. Include a valid event, a duplicate, an out-of-window event and a pending case. Each should have an expected status and a documented reason. Source: [TheAffiliatePlatform — Managing Deals](https://help.theaffiliateplatform.com/affiliate-platform/managing-deals) ### Keep event, review and payment states separate Use an operational sequence such as observed, pending review, approved, rejected and reversed. These are proposed reporting states, not universal industry standards. Observed means the system received the event. Pending means the necessary assessment is incomplete. Approved means the relevant requirements have been satisfied under the agreement; payment may still depend on invoicing or a minimum balance. A reversal should refer to the previous approval and explain what changed. Do not overwrite the event as if it never existed. That destroys the history needed to reconcile two reports captured on different dates. Keep event time, ingestion time and decision time so a delayed update can be distinguished from an actual disagreement about eligibility. ### Reconcile a synthetic qualification funnel Synthetic example: a campaign records 120 first-deposit events. Five are duplicate event deliveries, leaving 115 unique observed first depositors. At the reporting cutoff, eighty are approved, twenty are pending and fifteen are rejected. The payable count is eighty if the contract pays only approved acquisitions. Neither 120 nor 115 is an acceptable substitute for that approved count. The approval share of unique observed first depositors is 80 divided by 115, or approximately 69.6%. It is a provisional operational measure while twenty cases remain open. Label the cutoff date and do not compare it with another campaign whose review period has finished. The worksheet makes each state visible instead of hiding pending cases inside a conversion percentage. Synthetic reporting state | Count | Treatment --- | --- | --- Raw events | 120 | Deduplicate Unique observed FTDs | 115 | Funnel denominator Approved | 80 | Payable before cap checks Pending | 20 | Review separately Rejected | 15 | Retain reason ### Specify thresholds without encouraging player behavior Qualification requirements may involve contractual deposit thresholds, identity checks, timing or other permitted conditions. Managers should document and test those conditions internally. Do not translate them into instructions pressuring people to deposit more, continue gambling or bypass verification. Commercial eligibility and responsible marketing are separate obligations that must both be respected. The Spanish regulator-hosted affiliate study describes remuneration linked to advertiser conditions, supporting the need to distinguish an event from a payable acquisition. It does not establish today's requirements for a specific country or program. Have the responsible compliance team approve the market, channel and customer-facing message; a Spanish translation of a definition does not make an offer permissible throughout Spanish-speaking markets. Source: [DGOJ — Documento sobre remuneración de afiliados](https://www.ordenacionjuego.es/cmis/document/alfresco/9e871160-3a55-43a1-9528-bdff0a1d6f3e) ### Make rejection reasons useful and privacy-conscious Agree a controlled reason dictionary such as duplicate record, existing customer, ineligible market, attribution failure, threshold not met, review incomplete and confirmed invalid activity. These are proposed internal categories. Pending is not a rejection reason, and suspected issues should not automatically be represented as confirmed fraud in partner reporting. Give managers enough evidence to investigate without distributing customer identity documents or unnecessary personal information. Prefer restricted exports with pseudonymous references and an escalation route for authorized reviewers. Record who can change a status and whether the change affects a closed statement. This lets the commercial team challenge a calculation while leaving sensitive verification decisions with the team responsible for them. ### Agree the cutoff and dispute workflow Before launch, decide which report is authoritative, when a month's cases close, what happens to unresolved reviews and how later reversals appear. Document any cap independently: a qualified acquisition can still fall outside a payable cap. Combining cap exclusions with qualification rejections makes the underlying traffic look worse and conceals an avoidable commercial limit. At each close, reconcile opening pending cases, new events, approvals, rejections and closing pending cases. Assign an owner and next review date to every unresolved category. Use the cost-per-qualified-FTD tool only after the denominator is settled. A low cost per raw deposit can coexist with an expensive approved acquisition, so renewals should use the agreed payable population and disclose remaining uncertainty. ### Worksheet and questions [Download CSV](https://octomedia.agency/downloads/manager-guides/qualified-ftd-definition-affiliate-contract.csv) **Does FTD always mean an approved CPA?** No. FTD describes a first-deposit event or depositor, depending on the report. A payable CPA depends on the agreement and final qualification status. Ask for the exact field definition. **Should pending cases count as failures?** Keep them separate. Report the approved count at a dated cutoff and the unresolved population. Reclassifying every pending case as rejected understates eventual qualification and confuses review delays with traffic quality. **What if two dashboards disagree?** Compare unique references, event times, status decision times and report cutoffs. Then check attribution and contract versions. Escalate specific unmatched records through an approved process instead of sharing unnecessary customer data. ### Sources - [TheAffiliatePlatform — Managing Deals](https://help.theaffiliateplatform.com/affiliate-platform/managing-deals): Vendor documentation illustrating configurable commercial deal conditions. The useful question is not whether a deduction is common; it is whether its basis, timing and evidence match your terms. Build the bridge before applying the revenue-share percentage. Affiliate finance managers checking why a revenue-share statement differs from expectations. ### Start with the agreement rather than an industry formula NGR is a label whose practical meaning depends on the agreement. Two programs may use the same abbreviation and subtract different items or calculate charges on different bases. Copying a formula from a presentation into the finance workbook can therefore produce a plausible total that has no contractual relevance. SISU's public terms define an administration fee and address product aggregation. bet365's terms separately enumerate deductible costs. These are examples of variation, not a combined list of items every operator may subtract. Our recommended first step is a contract dictionary: source measure, deduction name, formula, applicable product, effective date and reference to the relevant clause. Flag anything that has no written basis. Source: [SISU Partners — Terms and Conditions](https://sisu.partners/terms-and-conditions/) Source: [bet365 Partners — Terms and Conditions](https://www.bet365partners.com/en/termsandconditions) ### Define the starting figure and signs Ask whether the gross input already reflects player winnings, returned stakes or settled results. If winnings are already netted from gross gaming revenue, subtracting them again understates the base. Define positive and negative signs explicitly, especially for refunds and corrections imported from different systems. Test one known record before processing a full month. Record the accounting period, settlement convention and reporting currency beside the starting total. An event settled after midnight can fall into different periods across systems. A currency conversion can also create a mismatch even when every original transaction agrees. Neither difference should be fixed by inserting a balancing “other” deduction that obscures the real cause of the variance. ### Show a synthetic deduction bridge Synthetic example: the agreed gross revenue is €20,000. The illustrative agreement permits €2,000 of promotional costs, €1,000 of payment costs and €3,000 of applicable duty in this period. The commissionable NGR is therefore €14,000. At a synthetic 30% share, commission before other contractual adjustments is €4,200. These figures are invented, not program terms or expected performance. If a further €500 administration charge appears, the task is to establish whether it is authorized and already included in another line. Where valid and additional, it reduces this example's commission by €150. Where duplicated or unsupported, the reviewer should raise an exception instead of quietly accepting a lower total. Percentage arithmetic comes after deduction validation. Synthetic waterfall | Amount | Running base --- | --- | --- Gross revenue | €20,000 | €20,000 Promotional costs | −€2,000 | €18,000 Payment costs | −€1,000 | €17,000 Applicable duty | −€3,000 | €14,000 30% share | €4,200 | Commission ### Check the base of percentage deductions A fee described as ten percent is incomplete until its base is specified. Ten percent of gross revenue differs from ten percent of revenue after promotions; the order matters when the formula is sequential. Write each percentage as a complete expression and preserve the intermediate value. Never infer the basis from whichever interpretation recreates the statement. For each line, request the relevant aggregate ledger or calculation evidence, subject to access restrictions. Ask whether a fee represents an actual cost, an agreed allocation or a fixed commercial charge. The distinction helps explain changes between months. It does not itself decide whether a charge is allowed; that remains a question for the agreement and the responsible contractual reviewer. ### Control product pools and retrospective adjustments Separate sportsbook, casino and other products until the pooling rule is established. A negative result in one product can change the combined base if the agreement aggregates products. If calculations are separate, the same presentation would misstate commission. Keep carryover outside the current-period deduction bridge until you know whether it is measured in revenue or commission units. Show retrospective changes as dated adjustments referencing their original periods. Do not replace a historical export and lose the audit trail. A correction can be valid while still requiring explanation to the affiliate. The workbook should distinguish an error correction, a late source event, a contractual adjustment and a change in commercial terms, because those require different follow-up actions. ### Close the waterfall with an evidence register Our editorial recommendation is to give every deduction an owner, a contract reference and an evidence location. Finance validates totals, the commercial owner confirms the applicable terms, and technical operations investigates source mismatches. A single owner should approve the final bridge so unresolved questions cannot disappear between teams. Publish the starting amount, each deduction, eligible NGR, rate and commission in the partner-facing explanation where the agreement and permissions allow it. Keep customer-level information restricted. Review the dictionary when a market, product or contract changes, not merely at year end. The aim is a reproducible calculation that another authorized reviewer can follow without relying on the original spreadsheet author's memory. ### Worksheet and questions [Download CSV](https://octomedia.agency/downloads/manager-guides/ngr-deductions-affiliate-commission-waterfall.csv) **Are all NGR deductions standard?** No. Public programs illustrate different definitions and fee structures. Use the applicable agreement and written amendments. A cost being common elsewhere does not prove it belongs in your commission calculation. **Can I use deposits as gross revenue?** Not unless the agreed model explicitly uses that measure. Deposits are cash movements; gross gaming revenue is a different measure. Confirm the report dictionary before building the deduction bridge. **Where should carryover appear?** Show it separately from current-period deductions and state its units. Apply the agreement’s pooling and carryover rules after establishing the current-period base, unless the written formula explicitly requires another sequence. ### Sources - [SISU Partners — Terms and Conditions](https://sisu.partners/terms-and-conditions/): An example of defined deductions and aggregation across products. Before renewing, identify whether the balance is measured in revenue or commission, which products or customers share the pool, and whether exceptions apply. Model recovery across periods; a positive current month does not necessarily create a payable balance. Commercial managers evaluating the cash effect of negative balances on a renewal. ### Identify the balance that actually carries A report saying “minus €2,000” is incomplete. Determine whether it represents negative NGR, negative commission, an unpaid invoice adjustment or another ledger balance. Those units cannot be used interchangeably. Applying a commission percentage to a balance already expressed as commission effectively applies the rate twice and distorts the recovery calculation. GO AFFILIATES describes negative commission balance carryover in its public terms. bet365's help page describes how a negative account position can delay subsequent payments. These examples demonstrate the importance of reading the operative wording. They do not establish one formula for every program. Ask for a worked example using your proposed account structure and retain the written response with the agreement. Source: [GO AFFILIATES — Terms and Conditions](https://login.goaffiliates.com/public/TC.pdf) Source: [bet365 Partners — Help](https://www.bet365partners.com/en/help) ### Map the boundaries of the pool Identify the unit at which negatives and positives are combined: customer, product, brand, affiliate account or another contractual grouping. A positive casino cohort may recover a sportsbook negative only if the applicable terms pool them. Keep the raw product results available even when a statement provides only a combined total. Then ask about exception handling. Any isolated customer balance, fraud adjustment or special treatment needs a clear trigger and release rule. Avoid interpreting a headline “no negative carryover” phrase as a complete account of every exceptional adjustment. The review should establish exactly what carries, where it carries and when it stops carrying, rather than assuming that a promotional summary overrides detailed terms. ### Follow a synthetic three-month ledger Synthetic example: assume one NGR pool, a 30% rate, full carryover of negative NGR and no other adjustments. Month one produces minus €6,000 NGR, month two produces €4,000 and month three produces €5,000. The closing negative is €6,000 after month one and €2,000 after month two. Month three clears that amount, leaving €3,000 commissionable NGR and €900 commission. Under a different hypothetical rule that resets negative NGR to zero each month, the same current-period results would yield zero, €1,200 and €1,500 commission. That €1,800 difference across three months is an illustration of contract sensitivity, not a claim that either rule is offered by a particular program. Both calculations assume identical product results and no payment threshold. Synthetic month | Opening NGR carry | Current NGR | Commission --- | --- | --- | --- One | €0 | −€6,000 | €0 Two | −€6,000 | €4,000 | €0 Three | −€2,000 | €5,000 | €900 ### Separate accounting recovery from cash receipt Clearing the carried balance does not necessarily place cash in the affiliate's bank account. Approval, payment thresholds, invoice timing and banking can remain outstanding. Forecast these stages separately, especially when a creator or production supplier must be paid on a fixed date. A campaign can recover economically before it becomes a source of usable cash. Likewise, do not treat a negative carry balance as an immediate cash repayment obligation without checking the agreement. Carryover, clawback of an earlier overpayment and an invoice dispute are different mechanisms. The appropriate finance owner should classify the item. This guide offers a modeling method, not a legal interpretation of whether a specific amount can be recovered from you. ### Stress the renewal using order as well as totals Create scenarios that hold cumulative revenue constant but change its monthly sequence. Under some rules, an early positive payment followed by a negative period behaves differently from a negative opening followed by recovery. Add scenarios for product concentration and unusually large adjustments, using ranges supported by your own records rather than invented industry recovery rates. Assess the renewal from both sides. An operator may value protection against volatile results; an affiliate needs an intelligible route to future payment. A smaller stated revenue-share percentage with clearer pooling could be more predictable than a higher percentage attached to broad offset rights. Compare the total agreement and forecast uncertainty before negotiating a headline rate increase. ### Use a carryover register at every close The worksheet should show opening balance, current-period movement, approved adjustments, commissionable base, closing balance and units. Add the pool identifier and agreement version. Require the opening balance to match the previous statement's closing balance, with any difference explained by a dated adjustment. This catches silent resets and unexpected carry-ins. Our recommended renewal memo includes the modeled recovery horizon, the largest unresolved interpretation and the obligations that must be funded while commission is unavailable. If the contract language and dashboard behavior differ, resolve that gap before buying more placements. Review market and platform eligibility independently; more spending is not an appropriate response to a negative balance when the underlying promotion is no longer approved. ### Worksheet and questions [Download CSV](https://octomedia.agency/downloads/manager-guides/negative-carryover-affiliate-revenue-share.csv) **Does negative carryover mean I must repay cash?** Not automatically. An offset against future earnings is different from reclaiming a prior overpayment. Read the relevant clauses and have the responsible reviewer classify the specific balance. **Can a positive month still pay nothing?** Yes, in a carryover model it may first absorb an earlier negative. Other contractual payment conditions can also delay receipt. Show opening balance and current-period result separately. **Is no negative carryover enough to compare offers?** No. Check the pool, exceptions, deduction base, adjustment rights and payment conditions. Ask for examples of an ordinary negative month and any exceptional treatment mentioned in the agreement. ### Sources - [GO AFFILIATES — Terms and Conditions](https://login.goaffiliates.com/public/TC.pdf): Social-casino program-specific commission models, carryover and dispute procedure. Document both before launch. Specify the cap unit, period, allocation method, pending exposure and stop process so approved acquisitions cannot unexpectedly become unpaid over-cap traffic or unbudgeted liabilities. Affiliate managers and buyers controlling the maximum commitment of a CPA pilot. ### Define what the cap measures A cap may limit payable acquisitions, commission value, a campaign, a market or an entire account. “Fifty FTDs” is incomplete if several creators share the same allowance or a hybrid deal adds another payment component. Identify the relevant unit, currency, timezone and reset date. State whether the cap reserves capacity for pending events or counts only final approvals. Pala Partners' public terms include a monetary commission cap, illustrating that a cap need not be a customer count. TheAffiliatePlatform documents configurable deals. Neither source establishes the settings of your account. Our editorial recommendation is a signed cap schedule with an operational owner, rather than a number buried in a conversation that the delivery team cannot access. Source: [Pala Partners — Terms of Participation](https://affiliates.palapartners.com/terms_and_conditions.asp) Source: [TheAffiliatePlatform — Managing Deals](https://help.theaffiliateplatform.com/affiliate-platform/managing-deals) ### Distinguish qualification from purchasing limits Keep separate fields for qualification status and cap disposition. An approved acquisition outside an agreed allowance is commercially different from an ineligible customer. If both become “rejected,” finance cannot determine whether the issue is traffic quality or purchasing control. The distinction also matters when negotiating whether excess events roll into a later allowance. Define allocation when events arrive together or are approved out of order. Does capacity follow registration time, first deposit time, approval time or a reserved slot? Specify the source timezone and tie-break rule. Do not invent the rule after a strong creator has exceeded the allowance. Agree how the system will demonstrate that the chosen allocation has been applied consistently. ### Calculate a synthetic cap and pending exposure Synthetic example: a pilot allows fifty payable acquisitions at €100 CPA, giving a €5,000 CPA ceiling. At noon, forty-two acquisitions are approved and twelve are pending. Eight slots remain if capacity is measured on approvals, but the pending queue could exceed those slots by four. Treating only approved commission as exposure conceals that possibility. In this invented scenario, reserving capacity for all twelve pending cases would show a potential €5,400 commitment before any new events. Whether excess acquisitions are payable depends on the written agreement; this is not a unilateral reason to withhold them. Use the forecast to pause new placement commitments, resolve approvals and obtain an authorized cap change before further exposure accumulates. Synthetic control | Value | Implication --- | --- | --- Allowance | 50 × €100 | €5,000 ceiling Approved | 42 | Eight approval slots remain Pending | 12 | Four may exceed remaining slots Potential exposure | €5,400 | Resolve before more delivery ### Build a practical stop process A dashboard alert cannot stop a live sponsorship segment by itself. Identify who can pause paid placement, remove or replace approved links, notify the creator and confirm the change. Account for content that remains available after the original broadcast. The contractual stop process should address residual traffic and the treatment of acquisitions already in progress. Set alerts using your own delivery speed and review latency. There is no universal safe threshold. A rapidly converting placement may need a larger buffer than a slow newsletter. Measure how many events can arrive between an alert, a human response and the effective stop. Use that operating delay to choose the reserve rather than copying a round percentage from another campaign. ### Close validation without retroactive surprises Document approval deadlines, permitted reversal reasons, evidence access and the treatment of pending cases at month end. Keep the original event, approval and later adjustment linked. A revised statement should show why the prior amount changed; silently replacing the export makes it impossible to determine whether the cap was applied to the same population. Make any extension explicit about its effective time, additional allowance and affected traffic. Confirm who has authority to approve it. A casual request to “keep going” can create a dispute if the buying system still enforces the old limit. Send the updated schedule through the agreed channel and test the new configuration before reopening a paused placement. ### Review cap efficiency after the pilot At close, report purchased allowance, approved events within it, approved events outside it, pending events and cash paid. Explain whether unused capacity resulted from low demand, slow review or an early stop. These lead to different decisions. Raising the rate will not solve a queue that prevented otherwise valid acquisitions from being approved on time. Use the worksheet to preserve the cap history and each authorization. Our recommended renewal decision names the next allowance, alert owner, validation service expectation and remaining uncertainty. Confirm that any continued promotion is still approved for the jurisdiction and platform. The objective is an agreed commercial boundary that both sides can monitor, not a mechanism for retrospectively redefining valid delivery. ### Worksheet and questions [Download CSV](https://octomedia.agency/downloads/manager-guides/cpa-caps-validation-affiliate-campaigns.csv) **Are over-cap acquisitions automatically invalid?** No. Qualification and cap treatment are separate. Whether an excess acquisition is payable, excluded or carried forward depends on the agreement. Report the two decisions independently. **Should pending cases consume capacity?** Specify this in writing. Reserving capacity can reduce overspend risk, but it affects delivery and should not be imposed after launch. Model pending exposure even when the system counts only approvals. **When should a campaign pause?** Use remaining allowance, pending cases, event velocity and the time needed to stop delivery. Set the trigger before launch and assign someone who can actually implement the pause. ### Sources - [Pala Partners — Terms of Participation](https://affiliates.palapartners.com/terms_and_conditions.asp): Program-specific commission, qualification and cap language; written account terms need checking. Use contribution after the costs relevant to your business, not deposits or gross revenue. Compare cohorts at the same age, distinguish actual months from forecasts and report when recovery has not yet been observed. Operator growth and finance managers deciding whether an affiliate cohort supports further investment. ### Choose the business perspective and cohort boundary An operator and an affiliate do not have the same payback calculation. For the operator, affiliate commission is usually part of acquisition economics. For an affiliate, earned commission is revenue and production or placement spending may be the investment to recover. State the perspective in the workbook title so the same label cannot conceal two different models. Define a cohort by acquisition month, partner, market, product and qualification rule. Decide how a late approval is assigned and keep that policy stable. Our editorial recommendation is to retain both event month and approval month, then select one explicit cohort convention. Moving difficult cases into a newer cohort can make an older cohort appear stronger without improving the underlying economics. ### Build retained contribution without double counting Start with the revenue measure finance approves for this decision. Subtract relevant ongoing costs that are not already included, including revenue-share commission where applicable. Keep the upfront acquisition investment separate if you plan to compare cumulative contribution against it. Alternatively include it in a cumulative cash model, but do not subtract it in both places. SISU's deduction definitions illustrate why a report labeled NGR needs a dictionary before reuse. GO AFFILIATES' combined commission model illustrates that an ongoing component can coexist with CPA. These facts do not prescribe your managerial accounting policy. Reconcile the chosen contribution measure to finance's records and disclose exclusions such as corporate overhead rather than calling a partial measure total profit. Source: [SISU Partners — Terms and Conditions](https://sisu.partners/terms-and-conditions/) Source: [GO AFFILIATES — Terms and Conditions](https://login.goaffiliates.com/public/TC.pdf) ### Calculate an observed synthetic payback Synthetic operator example: acquisition investment is €12,000. After applicable ongoing costs and commissions, the cohort contributes €3,000 in month one, €4,000 in month two and €6,000 in month three. Cumulative contribution reaches €3,000, €7,000 and €13,000. Payback is observed during month three at the monthly resolution of this model. Do not claim an exact day from monthly totals. A linear interpolation could be shown as a modeling assumption, but it would not be an observed cash event. If month three is a forecast, the correct description is projected month-three payback. The table deliberately uses invented figures and makes no claim about typical affiliate recovery times or performance by market. Synthetic cohort age | Contribution | Cumulative | Recovery status --- | --- | --- | --- Month one | €3,000 | €3,000 | €9,000 unrecovered Month two | €4,000 | €7,000 | €5,000 unrecovered Month three | €6,000 | €13,000 | Recovered within month ### Compare cohorts at the same age A January cohort with six months of contribution should not be ranked against a June cohort with one month using lifetime totals. Build an age table with month one, month two and subsequent periods measured from each cohort's acquisition convention. Mark immature cells as unavailable rather than zero. Zero implies an observed result; unavailable means the result has not happened yet. Retain the size of each cohort and its approved acquisition cost beside the age curve. A very small cohort can be dominated by a few unusual outcomes. Use uncertainty ranges and your own observation history when deciding whether a difference is stable. There is no universal count that makes every market, creator and revenue distribution statistically reliable. ### Separate economic recovery from liquidity A contribution model can show recovery before associated cash is collected, or while invoices remain payable. Maintain a cash schedule if funding is the decision at hand. Record creator guarantees, platform fees, invoice due dates and expected commission receipt dates as appropriate to your perspective. A profitable forecast can still require working capital. Stress delayed approvals, reduced contribution and higher legitimate deductions separately. Do not improve the downside case by changing the cohort definition or quietly dropping a committed cost. If the downside never reaches recovery within the planning horizon, say so. An open-ended promise that the cohort eventually pays back is not a substitute for evidence about the unobserved tail. ### Use the curve to make a bounded renewal decision Our recommended renewal memo states observed contribution through the latest complete period, forecast contribution beyond it, unrecovered investment and the next review date. Add the agreement version so rate changes can be distinguished from changes in audience quality. If the commercial structure changes, show the old and new economics rather than overwriting the original acquisition history. Choose a budget that fits the uncertainty and cash position, subject to approved market and platform activity. A cohort table should inform commercial planning, not encourage pressure on individual customers to increase gambling. Keep analysis aggregated and access controlled. The worksheet is designed to support a defensible business decision while leaving customer protection obligations independent of a target payback date. ### Worksheet and questions [Download CSV](https://octomedia.agency/downloads/manager-guides/affiliate-cohort-payback-analysis.csv) **Is NGR divided by CPA a payback calculation?** It can be a partial ratio, but it is not automatically retained contribution or cash recovery. Check which costs NGR already includes and which ongoing commissions or expenses remain. **What if payback is outside the observation period?** Report it as not yet observed. You may add a clearly labeled forecast with assumptions and downside ranges, but do not describe a modeled future crossover as an achieved result. **Can I compare creators of different sizes?** Yes, with equal-age cohorts and consistent definitions, while retaining size and uncertainty. Per-acquisition measures help normalize scale but do not remove volatility or differences in commercial terms. ### Sources - [SISU Partners — Terms and Conditions](https://sisu.partners/terms-and-conditions/): An example of defined deductions and aggregation across products. Start by aligning periods, currencies and identifiers, then explain each variance at its source. Keep disputed and undisputed amounts separate, preserve every statement version and resolve differences through the agreement’s documented process. Affiliate operations and finance teams preparing a defensible monthly invoice. ### Agree the scope and freeze the evidence Pick one partner, product, market and period before investigating totals. Capture the report generation time, event cutoff, timezone, currency and agreement version. Save the original exports in a controlled location. A live dashboard changes, so a screenshot taken tomorrow may no longer represent the amount that caused today's discrepancy. bet365's help states that its statistics are not real time, illustrating why update cadence matters. Do not generalize that cadence to another platform. Ask each system owner when its data is complete. Our editorial recommendation is an evidence manifest listing the files used and their cutoffs, so both parties can reproduce the same comparison instead of arguing about moving totals. Source: [bet365 Partners — Help](https://www.bet365partners.com/en/help) ### Reconcile activity before commission arithmetic For CPA, compare unique eligible acquisition references and status histories before multiplying by the rate. For revenue share, reconcile the applicable revenue base and deductions first. If the populations differ, a rate check alone cannot explain the amount. Start with missing, duplicate and differently classified records, then move to price and adjustment differences. Use pseudonymous identifiers wherever possible and share only the fields necessary for investigation through approved channels. A finance dispute does not justify circulating identity documents or a complete customer profile. When detailed data cannot be shared, agree an authorized reviewer or aggregate evidence method that can establish the disputed calculation without expanding access to sensitive information. ### Explain a synthetic CPA variance Synthetic example: a partner expects payment for sixty approved acquisitions at €100, or €6,000. The statement lists fifty-seven and €5,700. Investigation finds two cases still pending at the statement cutoff and one event outside the agreed reporting period. The immediate €300 difference is explained by timing and status, not a different rate. This explanation does not settle whether the three cases will ever become payable. Put the two pending cases on the next-review register and assign the out-of-period case to the correct period if eligible. Avoid adding a miscellaneous €300 adjustment simply to make this month's totals match. That shortcut breaks the activity trail and may create a duplicate payment later. Synthetic variance | Count | Value | Next action --- | --- | --- | --- Expected approvals | 60 | €6,000 | Compare references Statement approvals | 57 | €5,700 | Validate cutoff Pending at cutoff | 2 | €200 potential | Review next close Outside period | 1 | €100 potential | Assign correct period ### Classify the remaining differences Use a variance register with a category, amount, evidence reference, owner and expected resolution date. Suggested categories include population, timing, qualification, rate, deduction, carryover, currency and payment. These are editorial controls, not a prescribed accounting standard. A category should lead to the team capable of resolving it, rather than become a permanent parking place. For currency differences, compare original amounts, conversion dates and the agreed rate source. For a manual adjustment, request its original event or contractual basis. For a rate difference, check the effective date and whether a tier applies marginally or retrospectively. Keep rounding separate and quantify it; rounding should not become a blanket explanation for an unexplained material gap. ### Resolve through the actual dispute process GO AFFILIATES' published terms include a reporting dispute deadline. This demonstrates why the contract calendar belongs in the close process; it is not a deadline to apply to every program. Record the relevant notice route and due date for your agreement, and make the responsible owner aware before a discussion drifts beyond it. Frame the dispute around specific evidence: the expected calculation, the statement calculation, the difference and the requested correction or explanation. Keep undisputed amounts visible and follow the agreement's invoicing procedure. Do not assume a message in an informal chat satisfies formal notice requirements. The appropriate commercial or legal owner should handle the contractual position when a disagreement cannot be resolved operationally. Source: [GO AFFILIATES — Terms and Conditions](https://login.goaffiliates.com/public/TC.pdf) ### Reconcile settlement and prevent recurrence After a statement is agreed, match the invoice, remittance reference and bank receipt. Separate withheld amounts, bank charges and currency effects from commission calculation differences. A correct statement with no matching receipt is a settlement issue, while an incorrect base is a commission issue. They need different owners and should not share a vague “payment problem” status. At close, record what caused each resolved exception and whether the same defect can recur. Fix an export cutoff, missing identifier or configuration mismatch at its source. Use the worksheet as a repeatable close checklist, while retaining an exception log for unusual cases. The outcome should be an invoice traceable to agreed activity and a clear list of remaining obligations, not merely a spreadsheet with equal totals. ### Worksheet and questions [Download CSV](https://octomedia.agency/downloads/manager-guides/affiliate-commission-reconciliation-checklist.csv) **Should I reconcile against a live dashboard?** Capture a dated export and its cutoff first. Live values may change as approvals or adjustments arrive. Use the snapshot for the comparison and record later changes separately. **Can I invoice the amount I expected?** Follow the contract’s invoicing and dispute process. Present the evidence for any difference and separate undisputed amounts. This guide does not determine legal entitlement to a disputed amount. **What evidence is enough for a discrepancy?** Provide the relevant pseudonymous references, status or period difference, applicable rule and arithmetic. Share only necessary data through approved channels; escalate sensitive review to authorized teams. ### Sources - [bet365 Partners — Help](https://www.bet365partners.com/en/help): Public reporting and negative-balance explanations; account terms remain controlling. Verify the eligible population, revenue waterfall, rate, pooling and carryover before checking settlement. Start with a small traceable sample and the full aggregate bridge, then investigate exceptions. A correct percentage applied to an incorrect base is still an incorrect statement. Finance and affiliate program managers reviewing recurring commission accuracy. ### Define the question and the authority Decide whether you are checking one invoice, a configuration change or a recurring control. Those require different scopes. Record the agreement, amendments and effective dates before reviewing data. If a commercial email changes a rate, establish that it is an authorized amendment rather than assuming every message modifies the operative terms. Our editorial audit method is a management review, not a statutory audit or assurance opinion. Assign an independent reviewer where practical: the person who configured a deal should not be the only person approving its calculation. Set an investigation threshold appropriate to the business, but still log systematic small errors that could accumulate across many partners or periods. ### Trace eligibility and the NGR bridge Rebuild the population using the permitted attribution and eligibility records. Confirm that the correct brands, markets and products are included. Next reconcile the aggregate revenue waterfall, checking each deduction against the agreement. SISU's terms illustrate explicit fee definitions and product aggregation; Pala's terms also contain program-specific NGR language. Their differences are a reason to avoid universal formulas. Choose sample records that challenge the calculation: a standard record, a negative result, a reversal and a period-boundary event. Trace them from source to statement. The sample tests the path, while the aggregate bridge tests total completeness. Neither alone provides the same evidence as both, and a passed sample should not be described as proof that every record is correct. Source: [SISU Partners — Terms and Conditions](https://sisu.partners/terms-and-conditions/) Source: [Pala Partners — Terms of Participation](https://affiliates.palapartners.com/terms_and_conditions.asp) ### Reproduce a synthetic statement Synthetic example: eligible NGR is €18,000 and the agreement carries €3,000 of negative NGR into the same pool. The remaining commissionable base is €15,000. A synthetic 30% rate produces €4,500. An approved €200 prior-period commission correction brings the statement to €4,700 before any separate settlement conditions. The €200 correction is expressed in commission units, so it is added after the percentage calculation in this invented model. Adding it to NGR instead would produce only €60 of additional commission. This is why every adjustment needs a unit and a place in the formula. The example demonstrates an audit test and does not describe any cited program's actual calculation. Synthetic statement component | Amount | Unit --- | --- | --- Eligible NGR | €18,000 | Revenue Opening carry | −€3,000 | Revenue 30% of remaining €15,000 | €4,500 | Commission Approved correction | €200 | Commission Statement amount | €4,700 | Commission ### Test rate tiers and effective dates A tier may apply one rate to the entire qualifying base or different rates to successive bands. Those approaches produce different results, so ask for an explicit worked example. Also establish which activity determines the tier, the period used and whether reversals can change it retrospectively. Do not rely on a dashboard badge that shows only the final percentage. Test the value immediately below, exactly at and immediately above each boundary. Include a rate amendment halfway through the period if your arrangement allows one. The expected treatment should be written before running the test. If the platform cannot reproduce it, classify the issue as a configuration limitation or calculation defect rather than silently changing the expected commercial outcome. ### Inspect adjustments and settlement separately List every manual adjustment with its original period, reason, evidence, author and approval. A generic “finance correction” is not enough to reproduce the calculation. Review whether closed periods can be reopened and how affected partners are informed. Preserve the original and revised statements so the total change can be reconciled without relying on a person's memory. Then inspect invoice and payment status. Minimum payout thresholds, incomplete supplier onboarding or disputed items can affect receipt without changing earned commission. Keep those causes outside the revenue waterfall. Match payment references and currencies to the approved statement, and have treasury explain any bank or conversion difference. This prevents settlement issues from being misdiagnosed as an NGR error. ### Turn findings into durable controls Write each finding as a condition, evidence, financial effect and corrective action. Assign an owner and retest date. A corrected spreadsheet is not a complete fix if the live platform will produce the same error next month. Check that configuration, contract documentation and reporting definitions now agree, then retain the retest evidence. For renewals, summarize unresolved limitations in reporting access or reproducibility. Lack of evidence does not prove underpayment, but it limits confidence in the calculation. Use that distinction in the commercial conversation. The downloadable worksheet creates an evidence index for future reviews, with restricted access to any customer-level data and a separate approval trail for changes that affect payable amounts. ### Worksheet and questions [Download CSV](https://octomedia.agency/downloads/manager-guides/revenue-share-audit-affiliate-statements.csv) **Is checking the revenue-share percentage enough?** No. Population, deductions, pooling, carryover and adjustments can change the result before or after the percentage is applied. Reproduce the entire calculation and verify the units of each input. **How many records should I sample?** Choose a scope based on risk and data volume, including boundary and exception cases. This guide offers no universal sample size or audit assurance. Combine traceable samples with an aggregate reconciliation. **What if source data cannot be shared?** Record the access limitation and seek an approved evidence route, such as an authorized reviewer or aggregate reconciliation. Do not infer fraud from limited access or circulate unnecessary personal data. ### Sources - [SISU Partners — Terms and Conditions](https://sisu.partners/terms-and-conditions/): An example of defined deductions and aggregation across products. Separate committed production and placement costs from conditional acquisition payments and an uncommitted reserve. Release later spending only after tracking, eligibility and early economics meet predefined review conditions; a calendar date or an attractive click total is not enough. Growth leads allocating a limited budget across new affiliate or creator tests. ### Name the uncertainty the pilot must resolve A pilot might test whether a creator reaches the approved audience, whether attribution survives the journey or whether qualified acquisition economics support a renewal. Choose the primary question before dividing money. Attempting to compare five creators, three markets and two offers with a small budget may produce many weak observations and no clear decision. Our editorial recommendation is a short decision statement: the option being tested, the evidence required, the maximum commitment and the action that follows each plausible result. This is more useful than a generic target return copied from another campaign. It also prevents the team from redefining success around whichever metric happens to look favorable after the money has been spent. ### Reserve for obligations before experimental allocation List production, legal review, approved creative adaptation, tracking setup and any guaranteed creator fee. Distinguish cash paid from cash contractually committed. The remaining budget is not fully available for incremental acquisitions if pending events or cancellation obligations could still become payable. Include those exposures in the forecast before authorizing another placement. Pala's public terms illustrate monetary commission limits, while TheAffiliatePlatform documentation shows that commercial conditions can vary by deal. These sources do not provide a recommended budget split. Use the actual agreement to determine exposure. A platform cap is a control only when its settings, pending-event behavior and commercial treatment of excess traffic are understood by both parties. Source: [Pala Partners — Terms of Participation](https://affiliates.palapartners.com/terms_and_conditions.asp) Source: [TheAffiliatePlatform — Managing Deals](https://help.theaffiliateplatform.com/affiliate-platform/managing-deals) ### Allocate a synthetic pilot in stages Synthetic example: a €10,000 pilot assigns €2,000 to approved setup and production, €4,000 to an initial placement commitment, €2,000 to conditional CPA exposure and €2,000 to an uncommitted reserve. These invented amounts illustrate separation of obligations; they are not industry allocation benchmarks. At launch, committed spending is €6,000 plus any acquisition liability that subsequently qualifies. Do not describe the reserve as both available for scaling and protection against the same pending liability. Give it a priority: cover valid existing obligations first, then fund an authorized extension if enough remains. When the initial test produces useful but incomplete evidence, retaining the reserve can be a better commercial decision than spending it merely to complete the calendar. Synthetic allocation | Amount | Status --- | --- | --- Setup and production | €2,000 | Committed Initial placement | €4,000 | Committed CPA exposure | €2,000 | Conditional Reserve | €2,000 | Uncommitted Total limit | €10,000 | Planning ceiling ### Set release gates that the team can verify Use an operational gate first: correct links, approved markets and channels, visible event records, agreed qualification states and a tested report export. Follow with an evidence gate appropriate to the question, such as enough completed reviews to distinguish a tracking problem from qualification delay. Finally assess commercial contribution and cash exposure using the agreed cost model. Do not invent a universal minimum sample or winning conversion rate. Required evidence depends on variance, the difference you need to detect and the cost of a wrong decision. If the pilot cannot support a reliable comparison, report it as directional. A limited result can still reveal a broken process or eliminate an unsuitable option without proving that the remaining option will scale. ### Change one major variable and preserve comparability If a second tranche changes creator, landing page, market and incentive simultaneously, the team cannot attribute a result change to any one of them. Choose a controlled comparison where practical, or clearly label the next tranche as a different test. Keep contract versions and acquisition cutoffs so the final report does not blend incompatible definitions into one average. Account for audience overlap and delivery timing when comparing creators. A later placement may reach people exposed by the first, and a sports event can change demand. These are interpretation limits, not reasons to invent attribution certainty. Preserve the contextual notes alongside the numbers and use them when deciding whether another test would answer a remaining question more efficiently than immediate expansion. ### Close with a scale, revise or stop decision At review, show commitments, paid cash, pending exposure, qualified outcomes and remaining reserve. Explain what the pilot answered and what remains unknown. Recommend one of three concrete actions: repeat with a bounded extension, revise a specified weakness and retest, or stop further commitments. Name the owner and budget of any follow-up so “keep testing” does not become indefinite spending. For regulated promotions, commercial performance never replaces market and platform approval. Recheck eligibility when the offer, channel or geography changes. The worksheet supports the investment decision by linking each tranche to evidence and authority. It deliberately avoids promising a profitable pilot; the useful outcome may be discovering an unsuitable arrangement before committing a larger budget. ### Worksheet and questions [Download CSV](https://octomedia.agency/downloads/manager-guides/test-budget-allocation-affiliate-pilots.csv) **What percentage should be held in reserve?** There is no universal percentage. Size it using existing commitments, pending CPA exposure, stop latency and the uncertainty the pilot must resolve. Record what the reserve covers before treating it as scale budget. **Should the best click performer get the next tranche?** Only if clicks answer the pilot question. For acquisition economics, check attribution, qualification and relevant contribution. High click volume can coexist with unresolved tracking or weak approved acquisition results. **What if the pilot is too small to prove performance?** Say so. Use it to validate operations or narrow hypotheses, then decide whether a larger bounded test is justified. Do not convert a directional observation into a reliable forecast. ### Sources - [Pala Partners — Terms of Participation](https://affiliates.palapartners.com/terms_and_conditions.asp): Program-specific commission, qualification and cap language; written account terms need checking. Price each obligation against a defined scope, then agree evidence, payment timing and remedies. A lower headline fee can cost more when approvals, reuse, exclusivity or acquisition conditions remain ambiguous. Finish with one versioned term sheet both delivery and finance can use. Creator managers and agency buyers negotiating a first affiliate sponsorship package. ### Prepare a package with clear commercial units List deliverables as units that can be accepted: a specified broadcast segment, a published asset, an approved link placement or a defined reporting export. State channel, length where relevant, timing and review responsibilities. Keep production labor separate from audience distribution; reshooting an asset and extending a live placement are different purchases. Our editorial recommendation is to negotiate the bundle using a shared scope sheet rather than exchanging a single fee against an undefined campaign. Identify which party supplies approved copy and how many revision rounds the price includes. Confirm the creator can deliver the requested format before assigning performance compensation to it. A precise deliverable reduces avoidable negotiation about whether the work was completed. ### Separate guarantees from conditional compensation A fixed fee pays for agreed obligations; CPA or revenue share depends on commercial conditions. Keep those components distinct in the term sheet and forecast. If a minimum guarantee is recoupable against later performance payments, state the sequence explicitly. Otherwise the same amount may be treated as an advance by one party and an additional fee by the other. bet365's terms recognize written commission structures, while GO AFFILIATES describes combinations of CPA and revenue share. These examples establish that components can coexist, not that any creator should accept a particular mix. Negotiate using your own delivery costs, reliable audience evidence and risk tolerance. Avoid presenting an invented standard market rate as a reason the other side must agree. Source: [bet365 Partners — Terms and Conditions](https://www.bet365partners.com/en/termsandconditions) Source: [GO AFFILIATES — Terms and Conditions](https://login.goaffiliates.com/public/TC.pdf) ### Compare a synthetic pair of packages Synthetic example: package A costs €4,000 for two approved live segments and one edited asset, with organic publication only. Package B costs €3,500 for the same delivery but requires an additional edit and a longer exclusivity period. The €500 headline saving does not establish that B is cheaper once the extra work and foregone opportunities are considered. Price the additional edit and exclusivity separately using the creator's own costs and opportunity assessment. Do not invent a universal premium. If the extra edit is valued at €300 and the added exclusivity at €600 in this synthetic negotiation, package B's comparable economic cost is €4,400. These are illustrative negotiating values, not proven lost revenue or published market prices. Synthetic package | Headline fee | Additional obligations | Comparable value --- | --- | --- | --- A | €4,000 | Baseline scope | €4,000 B | €3,500 | Extra edit €300; exclusivity €600 | €4,400 ### Turn rights and restrictions into bounded terms Specify who may reuse each asset, in which media, territories and period, and whether paid amplification or editing is included. Name the approval process for changes to the creator's work. Treat exclusivity as a defined category, geography and duration rather than an unlimited promise not to work with competitors. Broader restrictions can materially alter the value of the package. The commercial sheet should also identify approval dependencies and what happens when an approved format becomes unavailable. Any change to jurisdiction, platform or gambling offer needs the relevant compliance review. A signed commercial price does not authorize prohibited distribution. This article provides negotiation structure; the final rights and contractual language should be reviewed by the parties responsible for those obligations. ### Agree evidence, payment and remedies together For fixed deliverables, name the acceptance evidence and review deadline. For conditional compensation, link to the exact qualification definition, attribution rule and report cutoff. Set invoice milestones around observable work rather than vague satisfaction. If finance needs supplier documents before payment, identify that requirement early so it does not become a surprise after publication. Define the response to missed or unusable delivery. A proportionate replacement or credit can be negotiated, but it should address the unmet obligation and have an expiry or completion date. Do not promise guaranteed acquisition outcomes from a content deliverable. Distinguish a creator missing an agreed placement from a compliant placement producing fewer conversions than forecast; the remedies should not silently treat those as identical failures. ### Negotiate exchanges and record the final version When price is contested, exchange specific scope variables: fewer edits, a shorter reuse period, a later delivery date or a smaller initial commitment. State what changes with the fee so concessions do not accumulate invisibly. Use a table of agreed, open and rejected items, then issue one final version incorporating the complete package. The final approval should cover both commercial and operational owners. Archive the accepted version, report definitions and relevant creative approvals. At renewal, compare actual delivery, administrative effort and approved economics with the original assumptions. This produces a stronger negotiation than relying solely on follower count or a retrospective story about results. Use the worksheet to make the package auditable without turning every minor production choice into another round of bargaining. ### Worksheet and questions [Download CSV](https://octomedia.agency/downloads/manager-guides/creator-affiliate-deal-negotiation-term-sheet.csv) **Should performance compensation replace a fixed fee?** That depends on the work, data visibility and risk each party accepts. Separate production obligations from contingent earnings and model cash timing. No single structure is appropriate for every creator or campaign. **How should exclusivity be priced?** Define its scope and duration, then assess the creator’s own opportunity cost and the buyer’s need. There is no universal premium. Negotiate a narrower restriction when the broad version cannot be justified. **What belongs in the final term sheet?** Deliverables, acceptance, revision limits, rights, restrictions, compensation components, qualification rules, payment milestones, remedies, approvals and version date. Make unresolved items explicit before delivery begins. ### Sources - [bet365 Partners — Terms and Conditions](https://www.bet365partners.com/en/termsandconditions): Program-specific commission structure and payment terms; not universal affiliate rules. Start with a permitted platform and market combination, then attach the agreed deliverables, disclosure instructions, approved claims, escalation contacts and evidence requirements. The brief should implement the signed deal without silently expanding it. Campaign managers turning a signed creator partnership into an executable live brief. ### Write the decision before the creative idea Define one business question the campaign should answer: whether this creator can deliver the agreed adult-market exposure, whether the message is understood, or whether a properly instrumented placement produces qualified inquiries. Choose a reporting window and explain which evidence can answer that question. Avoid asking the creator to guarantee outcomes controlled by the operator, such as verification or payment acceptance. Record the intended market, language, product, destination and publication channel on the first page. This makes a material change visible: replacing an approved destination with a different brand is a new review, even if the artwork looks similar. Our editorial recommendation is to keep the brief short enough to use during a rehearsal and move background reading into linked references. ### Make platform eligibility a prerequisite Twitch prohibits risky gambling branded content, including promotion of online slots or roulette websites. A disclosure setting does not override that restriction. Before developing a concept, assign a qualified reviewer to assess the actual product, market, creator and platform combination. Approval on another channel cannot be copied across by changing the logo. The brief should contain the reviewer, review date, approved scope and unresolved conditions. Leave the publication status blocked when a material issue remains open. If the plan is ineligible, choose a genuinely permitted activity or cancel that placement; do not conceal the advertiser or route the promotion through an apparently unrelated page. These workflow fields are editorial recommendations, not a statement that completing a checklist establishes legal permission. Source: [Twitch — Branded Content Guidelines](https://help.twitch.tv/s/article/branded-content-policy) ### Separate required facts from creator expression Build three boxes: approved facts, creative freedom and prohibited improvisation. Approved facts contain only statements the brand can support and the reviewer has cleared for the exact placement. Creative freedom can include transitions, pacing and the creator’s own truthful reactions. Prohibited improvisation includes unsupported promises, invented personal experience and new promotional offers. Do not supply a paragraph that sounds like spontaneous testimony when the creator has not had that experience. FTC guidance is relevant to truthful endorsements and material connections in US-facing advertising. Translate approved messages with an actual language review, preserving their meaning rather than demanding a literal read that sounds unnatural. Ask the creator to restate the boundaries in their own words during rehearsal. Source: [FTC — Endorsement Guides: What People Are Asking](https://www.ftc.gov/business-guidance/resources/ftcs-endorsement-guides-what-people-are-asking) ### Turn the placement into a live run sheet List each asset separately: opening integration, overlay, pinned message, authorized link, edited clip and retained recording. For each, specify placement, duration where agreed, publish window, time zone and proof of delivery. A livestream and a later clip are separate publication events with separate checks. Synthetic example: a permitted sponsorship has one opening segment and one later reminder. The run sheet gives the producer a cue, the creator an approved disclosure instruction and the moderator the exact destination to verify. If a segment is interrupted, the producer records what actually aired rather than assuming the scheduled minutes were delivered. These are planning assumptions, not a recommended gambling format or an industry performance benchmark. ### Give the moderator authority to stop a mistake A live brief needs an exception path. Name who can remove a link, pause the sponsored portion and contact the approver. Agree what happens when the landing page fails, an unapproved claim is spoken, or the audience moves into a discussion the creator cannot responsibly answer. The creator should know the escalation route before going live. Keep the emergency instructions operational: stop the affected placement, preserve the timestamp, tell the designated contact and wait for the corrective decision. Do not tell moderators to answer individual account, identity or payment questions in public chat. Route such questions to the operator’s established support channel. Review corrections for any derivative clips so an old error is not republished later. ### Freeze the brief and collect acceptance Give the approved version a date and owner. Ask the creator, producer and account manager to acknowledge the same version. Late changes should show the altered field, reason, effect on workload and approver; a message in a busy chat should not silently replace a signed deliverable. Use the worksheet below to turn the brief into a handoff. Store evidence links alongside decisions, and leave unknowns visible. After publication, compare the record with actual delivery and document discrepancies before the invoice review. The strongest brief is useful twice: first for the person producing the content, then for the person checking whether the agreed work happened. Neither person should need to reconstruct obligations from scattered conversations. Decision | Required record | Owner --- | --- | --- Permitted placement | Scope and reviewer recorded | Compliance lead Campaign question | One measurable decision | Campaign manager Approved facts | Versioned claim sheet | Brand approver Live cues | Timing and evidence requirements | Producer Exception path | Stop contact and backup | Moderator lead Final acceptance | Acknowledged brief version | Creator manager ### Worksheet and questions [Download CSV](https://octomedia.agency/downloads/manager-guides/igaming-streamer-brief-template.csv) **How long should the brief be?** Use a concise operating document with linked supporting records. Length is less important than whether a producer can locate the approved message, current asset, emergency contact and publication decision during a live session. **Can the brief add clips to an existing deal?** Only after the parties agree the scope change. Record the additional production, rights, fee and deadline explicitly. A creative instruction should not become an unnoticed commercial amendment. **Should the creator read a script word for word?** Reserve exact wording for statements the reviewer requires to stay fixed. Let the creator use natural transitions within approved boundaries, and never script personal experience that is untrue. ### Sources - [Twitch — Branded Content Guidelines](https://help.twitch.tv/s/article/branded-content-policy): Platform branded-content restrictions, including risky gambling sponsorship; checked September 22, 2026. - [FTC — Endorsement Guides: What People Are Asking](https://www.ftc.gov/business-guidance/resources/ftcs-endorsement-guides-what-people-are-asking): US endorsement guidance, including advertiser responsibilities and disclosure; checked September 22, 2026. ## Streamer onboarding checklist for iGaming campaign managers URL: https://octomedia.agency/blog/streamer-onboarding-checklist/ Language: en Author: Alexei Volkov — https://octomedia.agency/team/alexei-volkov/ Streamer onboarding is complete when the creator can execute the approved work, the team can support it, and finance can pay against the agreed terms. Use separate gates for eligibility, commercial scope, access, briefing, technical rehearsal and launch ownership. A signed agreement alone does not establish readiness, and a previous campaign does not automatically approve a new one. Creator managers onboarding an approved partner before the first sponsored placement. ### Open a single partner record Start with a stable internal partner identifier and the exact publishing accounts. Distinguish the creator, their representative and the entity issuing the invoice. Confirm who can approve commercial changes and who will actually attend rehearsal. A display name is useful for communication but insufficient for reconciling agreements and deliverables. Our recommended record contains contact preferences, time zone, backup contact, approved scope and unresolved tasks. Keep sensitive financial documents in the finance system rather than a widely shared campaign folder. Link to a restricted record when necessary. This is a process recommendation: the particular identity, tax and vendor documents required depend on the business relationship and relevant jurisdiction, not a universal creator checklist. ### Carry eligibility evidence into onboarding Vetting and onboarding answer different questions. Vetting assesses whether the partner is suitable; onboarding verifies that the specific agreed campaign can proceed. Recheck the platform, product, audience evidence and market, then record the decision owner and conditions. A new operator, channel or audience profile should reopen the relevant review. For UK-facing gambling advertising, ASA guidance addresses strong appeal to under-18s and restrictions around featuring younger people. Do not substitute a majority-adult audience statistic for that broader review. The onboarding record should identify which market’s rules were considered rather than using an unexplained green compliance badge. Where evidence is incomplete, record the missing item and keep the relevant publication blocked. Source: [ASA — Odds are your gambling post is an ad](https://www.asa.org.uk/news/odds-are-your-gambling-post-is-an-ad.html) ### Reconcile the contract and production schedule Compare the signed agreement with the latest proposal and planned run sheet. Count placements, versions, revision rounds, reporting obligations and retention periods. Check that usage rights and exclusivity have their own boundaries. Resolve contradictions before a creator reserves extra production time or receives conflicting instructions from different team members. Create a dated handoff to finance with currency, invoice entity, agreed payment triggers and the person who confirms delivery. Do not invent payment conditions such as automatic withholding until a conversion target is met. If the agreement pays for completed content, track that independently from subsequent performance analysis. Escalate ambiguous terms to the commercial owner; the onboarding coordinator should not rewrite them by spreadsheet. ### Grant only the access needed for the role Map every requested permission to a task. A creator may need approved assets and a reporting upload location without needing broad access to customer information or the operator’s analytics account. A moderator may need to update a message without controlling billing. Use named access wherever the available platform supports it, and record who can revoke it. Avoid sending account passwords or financial documents through the general production chat. Test the actual handoff: can the creator open the current brief, download the correct overlay and contact the backup approver? Schedule access removal after the agreed reporting and correction period. The purpose is continuity and accountability, not collecting more information than the team can maintain responsibly. ### Rehearse disclosures and failure scenarios Ask the creator to demonstrate the approved disclosure in the intended language and format, then inspect the rendered result from a viewer’s perspective. The FTC’s US guidance explains that live disclosures need to reach people joining partway through. The reviewer should determine how that principle applies to the planned content rather than treating one opening announcement as universally sufficient. Rehearse a broken destination, absent moderator and delayed asset approval. The creator should know whether to stop, switch to an already approved non-sponsored segment or contact the backup. Do not make real deposits or collect personal customer data to prove readiness. Use authorized testing methods and record their limits, including anything the available environment cannot demonstrate. Source: [FTC — Endorsement Guides: What People Are Asking](https://www.ftc.gov/business-guidance/resources/ftcs-endorsement-guides-what-people-are-asking) ### Close onboarding with a named launch owner Synthetic example: the agreement and creative are ready, but the backup producer cannot open the asset folder. The correct status is operationally incomplete, even though the creator has signed. Assign the access task and verify it before changing the gate to ready. The example illustrates a workflow, not a measured failure rate. Hold a short final handoff and record who owns publication, monitoring, evidence collection and payment questions. Send the creator one current packet rather than several partly obsolete documents. After the first placement, review the onboarding gaps while they are still fresh and update the template. Keep the original decisions available so the team can distinguish a genuine process improvement from a retroactive change to the agreed work. Decision | Required record | Owner --- | --- | --- Partner identity | Entity and representative confirmed | Account manager Eligibility refresh | Scope and conditions recorded | Reviewer Commercial reconciliation | Signed scope matches schedule | Commercial lead Finance readiness | Restricted vendor record complete | Finance Access test | Creator and backup can open assets | Producer Rehearsal | Disclosure and failure drill evidence | Creator manager Launch handoff | Named owner accepts responsibility | Campaign lead ### Worksheet and questions [Download CSV](https://octomedia.agency/downloads/manager-guides/streamer-onboarding-checklist.csv) **Does an existing partner need onboarding again?** Use a shorter refresh when the people, product, channel and scope are unchanged. Reopen affected gates when any of those change, and verify that access and payment contacts still work. **Should finance details be in the campaign worksheet?** Record completion and the responsible finance contact, not sensitive banking or identity documents. Use the approved restricted system for those records and give production only the status it needs. **What blocks the first publication?** Unresolved eligibility, missing required approval, unclear scope or a critical production dependency should remain visible blockers. The designated launch owner should resolve or explicitly remove the affected placement before publication. ### Sources - [ASA — Odds are your gambling post is an ad](https://www.asa.org.uk/news/odds-are-your-gambling-post-is-an-ad.html): UK gambling advertising guidance on youth appeal and creator suitability; checked September 22, 2026. ## How to define measurable streamer sponsorship deliverables URL: https://octomedia.agency/blog/streamer-sponsorship-deliverables/ Language: en Author: Alexei Volkov — https://octomedia.agency/team/alexei-volkov/ Define a deliverable as an observable piece of work with a format, location, publication window, acceptance condition and evidence source. Keep audience forecasts and commercial outcomes separate from promised production. For streamer campaigns, a live segment, retained recording, short clip and link placement should each have a clear scope rather than disappearing inside one campaign fee. Commercial and production managers agreeing what a creator sponsorship actually includes. ### Describe the asset so another person can verify it Replace vague requests such as brand visibility with a description of the exact placement. Identify the publishing account, format, agreed duration where relevant, date window and required approved components. Explain whether the item is live, edited or both. If subtitles, alternate aspect ratios or language versions are required, count them explicitly. Our editorial recommendation is to assign a unique asset identifier before production. That identifier should appear in the brief, approval record, evidence folder and invoice acceptance sheet. A manager who joins midway through the campaign can then connect an approved file to the published output without guessing from filenames. The identifier also prevents a replacement clip from being counted as an additional paid deliverable. ### Keep production promises separate from results A creator can agree to publish an approved segment and supply available analytics. They cannot necessarily control the number of verified customers, the operator’s approval delays or the audience’s commercial response. If a deal includes performance conditions, document those conditions separately with their definitions, attribution rules and dispute process. Synthetic example: a package includes one live integration, two edited clips and a reporting export. The audience forecast is a planning input, not a fifth deliverable. The acceptance sheet can show four assets completed while the commercial report still shows an unproven return. This distinction lets the team evaluate a disappointing campaign honestly without retroactively converting a forecast into a production guarantee. ### Define publication conditions for each platform An asset that is technically exportable is not automatically eligible for every channel. Specify the product, destination, audience restrictions and platform review required for each publication. Twitch’s risky gambling branded-content prohibition includes online slots and roulette website promotion. Do not sell a reusable cross-platform gambling package that assumes an identical placement is allowed everywhere. Where the approved scope is narrow, include that boundary in the deliverable description. For instance, a creator’s production of a file and the brand’s permission to distribute it are different questions. The agreement should explain what happens if the intended publication becomes unavailable before delivery. Operational specificity helps the commercial owner resolve the issue; it does not provide an exemption from platform rules. Source: [Twitch — Branded Content Guidelines](https://help.twitch.tv/s/article/branded-content-policy) ### Specify evidence without demanding inaccessible data Agree what the creator can actually provide: published URL, timestamps, screenshots, native export or a retained recording where permitted. Record the capture date and metric definition. A live audience measurement and a later video view count are different observations and should occupy different columns. Do not add them into a fictional unique reach total. Give the creator an evidence submission deadline aligned with data availability. If a platform delays analytics, mark the performance report pending while accepting already verified production. Do not request account passwords to speed up reporting. A screenshot may be useful evidence but has limitations; note its time window, missing breakdowns and whether it reflects paid distribution, organic exposure or both. ### Agree revision limits and derivative rights State how many review rounds are included, what counts as correcting a missed requirement and what changes the scope. A new offer, new language or new concept after approval usually warrants a commercial conversation rather than being silently classified as a typo correction. Record who consolidates feedback so the creator does not receive incompatible requests. Copyright protection and the exclusive rights it provides are a reason to specify content permissions carefully, not a shortcut to deciding ownership in a particular deal. Define whether the brand can repost, edit, advertise with or sublicense each asset. Ask the appropriate adviser to resolve the contract and jurisdiction details. Possession of a source file alone should not be your internal evidence of unlimited usage permission. Source: [U.S. Copyright Office — What is Copyright?](https://www.copyright.gov/what-is-copyright/) ### Use acceptance states that preserve uncertainty Use practical states such as scheduled, submitted, correction requested, accepted and disputed. Each state needs an owner, date and reason. Avoid a single complete checkbox that hides whether the content aired, the evidence arrived or the invoice was approved. These events may happen on different days. At campaign close, review the asset register against the signed scope and record exceptions separately. A missing clip, a shortened live segment and poor conversion performance need different conversations. The worksheet below is designed to make those conversations concrete. Preserve the final accepted version and evidence references so renewals start from what was actually delivered, not a sales summary that gradually becomes more generous with every retelling. Decision | Required record | Owner --- | --- | --- Asset definition | Format, account and identifier | Producer Publication window | Date and time zone | Creator manager Acceptance rule | Observable condition | Brand approver Evidence | URL, timestamp or native export | Reporting lead Revision boundary | Included rounds and change process | Commercial lead Usage permission | Channels, term and permitted edits | Rights owner ### Worksheet and questions [Download CSV](https://octomedia.agency/downloads/manager-guides/streamer-sponsorship-deliverables.csv) **Is a retained livestream recording automatically included?** No. Agree whether retention is part of the scope, for how long, and subject to which platform and rights constraints. Record what evidence remains available if the recording must be removed. **Can one clip count as several deliverables?** Only if the agreement explicitly defines separate versions or publications that way. Assign asset identifiers and publication identifiers so editing work and distribution are not confused. **What if analytics are unavailable?** Record the limitation and accept other agreed delivery evidence where appropriate. Do not invent metrics or treat missing reporting as proof that no one saw the content. ### Sources - [Twitch — Branded Content Guidelines](https://help.twitch.tv/s/article/branded-content-policy): Platform branded-content restrictions, including risky gambling sponsorship; checked September 22, 2026. - [U.S. Copyright Office — What is Copyright?](https://www.copyright.gov/what-is-copyright/): US copyright fundamentals and exclusive rights; does not determine individual contract terms; checked September 22, 2026. ## How to scope exclusivity in a streamer sponsorship URL: https://octomedia.agency/blog/streamer-sponsorship-exclusivity/ Language: en Author: Alexei Volkov — https://octomedia.agency/team/alexei-volkov/ Buy exclusivity only when a defined competing activity would undermine the partnership. Specify the restricted category or named competitors, covered accounts, territory, start and end dates, existing commitments and exceptions. Price the actual restriction separately from production. A broad promise to avoid all competitors is difficult to administer and may block work the sponsor never intended to buy. Agency buyers and creator managers negotiating a narrowly defined commercial restriction. ### Explain what the restriction is meant to protect Start with the business concern. The sponsor may want to avoid adjacent competing integrations in the same stream, conflicting endorsements during a launch, or a creator presenting rival offers during a limited campaign window. Those concerns call for different restrictions. Do not begin with a template that blocks every vaguely related product for an entire year. Our editorial recommendation is to write a plain-language purpose statement before negotiating the clause. Ask which specific activity would cause a meaningful conflict and whether scheduling separation would solve it. Exclusivity is one possible commercial tool, not a substitute for clear creative positioning or a guarantee of audience loyalty. A narrow operational goal is easier for both parties to evaluate. ### Define the category and covered activity A company may operate several brands or product lines. Decide whether the restriction applies to named brands, a defined product category, paid endorsements, affiliate links or some combination. Clarify the treatment of existing channel panels, incidental mentions and unpaid editorial coverage. Those distinctions should be resolved in the agreement rather than left to the manager monitoring the feed. FTC guidance distinguishes relationships that matter to audiences and the disclosure responsibilities associated with endorsements; it does not supply a standard exclusivity clause. Use that guidance for advertising transparency while obtaining contract advice for the restriction itself. Do not infer that an activity outside the commercial exclusivity wording is therefore exempt from advertising rules or platform policy. Source: [FTC — Endorsement Guides: What People Are Asking](https://www.ftc.gov/business-guidance/resources/ftcs-endorsement-guides-what-people-are-asking) ### Set dates that someone can administer Name the trigger that starts the restriction: signing, first publication or another agreed event. Give an actual end date or an unambiguous method for calculating it. State the time zone where a boundary matters. If publication is postponed, decide whether the exclusivity window moves, extends or remains unchanged. Synthetic example: a proposed restriction covers a launch week and the next seven days on two named accounts. When the brand postpones launch, the creator flags another signed commitment in the new window. The correct next step is a revised commercial agreement, not an assumption that all later work must disappear. The dates here illustrate a bounded negotiation and do not represent a market-standard duration. ### Check restrictions against permitted publication Commercial exclusivity cannot make an ineligible sponsorship publishable. Twitch prohibits risky gambling branded content such as online slots and roulette website promotion. Assess the intended activity before paying for a creator’s availability on a particular channel. Otherwise, the team may buy a restriction around a placement it cannot execute. Map each covered account to the approved product and market. If the restriction includes channels outside the publication plan, explain the commercial reason and the added burden. Obtain a qualified review of enforceability and local rules where relevant. This article provides a negotiation workflow, not a universal contract position or a claim that a particular non-compete provision will be enforceable. Source: [Twitch — Branded Content Guidelines](https://help.twitch.tv/s/article/branded-content-policy) ### Price opportunity cost without inventing a benchmark Ask the creator which existing commitments or credible opportunities would conflict, without demanding unrelated confidential deal terms. Compare a narrow restriction with a broader one and show the additional fee separately from content production and usage rights. This makes the buyer’s decision visible: what protection is being purchased, and for what incremental cost? Do not present a fixed percentage surcharge as an industry rule. The value depends on scope, duration, channel, category and the creator’s circumstances. Consider alternatives such as separating competing publication dates or limiting the restriction to paid integrations. Record exceptions expressly so the account manager is not expected to negotiate a new interpretation every time an old clip resurfaces. ### Maintain an exception and renewal register Use a small register for pre-existing deals, approved exceptions, open questions and expiry. Assign a person to handle conflicts and set a reminder before the restriction ends. Monitoring should focus on the agreed public activity; do not turn campaign management into demands for private communications or unrestricted access to the creator’s accounts. At renewal, review whether the restriction solved the original problem and whether it imposed unnecessary friction. If it did not change a meaningful business decision, buying a broader version may simply increase cost. Keep alleged breaches separate from verified facts, preserve the relevant public evidence and let the designated commercial or legal owner handle the dispute. The worksheet helps establish scope; it is not ready-to-sign legal language. Decision | Required record | Owner --- | --- | --- Business purpose | Specific conflict being prevented | Buyer Competitor scope | Named brands or defined category | Commercial lead Covered activity | Accounts and endorsement types | Creator manager Restriction dates | Trigger, expiry and time zone | Contract owner Existing commitments | Written exceptions | Creator representative Incremental fee | Separate negotiated amount | Buyer Renewal decision | Value and friction review | Account lead ### Worksheet and questions [Download CSV](https://octomedia.agency/downloads/manager-guides/streamer-sponsorship-exclusivity.csv) **Does exclusivity include old content?** Only as agreed. Address existing posts, retained recordings and pre-scheduled commitments explicitly. Removing old content can have separate commercial and rights implications. **Should exclusivity be priced separately?** Separating it is a useful negotiation practice because it reveals the cost of restricting future work. There is no universal surcharge or mandatory pricing method established by this guide. **What happens after a delayed launch?** Follow the agreed delay mechanism. If none exists, negotiate revised dates and affected commitments before assuming the restriction has extended automatically. ### Sources - [FTC — Endorsement Guides: What People Are Asking](https://www.ftc.gov/business-guidance/resources/ftcs-endorsement-guides-what-people-are-asking): US endorsement guidance, including advertiser responsibilities and disclosure; checked September 22, 2026. - [Twitch — Branded Content Guidelines](https://help.twitch.tv/s/article/branded-content-policy): Platform branded-content restrictions, including risky gambling sponsorship; checked September 22, 2026. ## Which usage rights should a streamer sponsorship include? URL: https://octomedia.agency/blog/streamer-content-usage-rights/ Language: en Author: Alexei Volkov — https://octomedia.agency/team/alexei-volkov/ List each permitted use of creator content instead of buying an undefined right to use it for marketing. Specify the asset, channels, territories, term, editing permissions, paid distribution and any sublicensing. Treat account access and likeness use as separate decisions. The commercial team needs an expiry register as well as a signed agreement so permission remains traceable after publication. Brand and agency managers deciding how sponsored streamer content may be reused. ### Inventory the assets before negotiating the license Start with the live recording, edited highlights, still images, audio excerpts and any raw footage. Identify which items are actually being delivered and which merely exist on the creator’s equipment. A reference to campaign content can hide major differences in production effort and reuse value. Give each requested asset a stable identifier. Ask what the brand plans to do with each asset over the next planning period. An internal presentation, organic social repost and paid advertisement are different uses. Our editorial recommendation is to negotiate against real intended uses rather than defaulting to the broadest language available. This reduces avoidable ambiguity and allows the creator to price the request against a concrete distribution plan. ### Distinguish ownership from permission to use The U.S. Copyright Office describes copyright as a set of exclusive rights in protected works. Ownership and a negotiated license are different concepts; paying a production invoice does not by itself tell an operations team what its agreement permits. The answer depends on the contract, the work and applicable law. Record the party granting permission and the exact scope of that grant. Where an agency receives files on behalf of a brand, identify who may actually publish them. Do not assume that access to a shared drive transfers rights to every client, subcontractor or future brand in the group. Ask the contract owner to resolve ambiguous ownership language before the content is repurposed. Source: [U.S. Copyright Office — What is Copyright?](https://www.copyright.gov/what-is-copyright/) ### Separate organic, paid and account-level permissions An organic repost license should not be treated internally as permission to run paid media. If paid distribution is needed, name the eligible accounts, formats, markets and term. If the plan uses a creator’s account or platform authorization feature, document the authorized actions and revocation process separately from the media license. Do not request the creator’s personal password to simplify advertising access. Use the platform’s supported authorization process where available and review its current requirements. Keep commercial permission, technical access and category eligibility as separate gates. A team may have a valid file license while still lacking platform permission to advertise that product in the proposed market. No one checkbox should merge those questions. ### Review edits for meaning and advertising context Specify whether cropping, subtitles, shortening, translation, music replacement and combinations with other footage are allowed. Decide which edits need creator or brand review. A short clip can change the apparent meaning of a statement when the original qualification is removed. Keep the approved source and derivative linked by asset identifier. FTC guidance on truthful endorsements and disclosure remains relevant when advertising is republished for US audiences. A reuse should not create a misleading impression about the creator’s experience or relationship. Have a qualified reviewer check the new context, including any disclosure that disappears during cropping. Our recommended editorial safeguard is a fresh review of each materially changed advertisement, even when the original footage was already approved. Source: [FTC — Endorsement Guides: What People Are Asking](https://www.ftc.gov/business-guidance/resources/ftcs-endorsement-guides-what-people-are-asking) ### Address third-party material and synthetic likeness separately A streamer recording may contain music, guests, artwork or other material the creator cannot freely license for every commercial use. Ask the rights owner what has been cleared for the intended distribution, and record exclusions. Avoid representing the entire recording as universally cleared simply because it was available on the original platform. If a request involves a synthetic voice, generated likeness or new statements assembled from existing footage, treat it as a separate proposal requiring explicit review and permission. Do not hide it under a general editing clause. The same practical principle applies to raw footage and sublicensing: name the use, identify the recipient and obtain the appropriate agreement before production or distribution depends on it. ### Run an expiry process that reaches every publisher Record when permission begins, when it ends and what must happen at expiry. Identify active ads, scheduled posts, agency copies and evergreen pages containing the asset. Agree whether removal, archival retention or a renewal is required under the contract. Give the operational owner time to act before the last day. Synthetic example: the brand has a time-limited paid-use license while the creator’s original post remains live under a separate agreement. At expiry, the manager stops the brand’s ads and checks downstream publishers rather than asking the creator to delete unrelated content. This illustrates why a rights register needs both the asset and the use. The worksheet records decisions but does not replace jurisdiction-specific contract drafting. Decision | Required record | Owner --- | --- | --- Asset inventory | Identifiers and supplied files | Producer Organic use | Accounts, markets and term | Rights owner Paid use | Authorized publishers and formats | Media lead Editing permission | Allowed edits and review route | Brand approver Third-party clearance | Exclusions and evidence | Rights reviewer Likeness permission | Separate express scope if applicable | Contract owner Expiry action | Stop, remove or renew per agreement | Operations lead ### Worksheet and questions [Download CSV](https://octomedia.agency/downloads/manager-guides/streamer-content-usage-rights.csv) **Do raw files include unlimited rights?** No operational assumption should link file delivery to unlimited permission. Read the agreement and record the permitted uses separately from the list of files received. **Can subtitles be added without another review?** Only within the agreed editing permission and applicable advertising requirements. Review translations and material changes in meaning, especially where a qualification or disclosure could be lost. **Who owns the expiry reminder?** Assign an identifiable brand or agency operations owner with visibility into every authorized publisher. The person negotiating the license may not be the person able to stop active distribution. ### Sources - [U.S. Copyright Office — What is Copyright?](https://www.copyright.gov/what-is-copyright/): US copyright fundamentals and exclusive rights; does not determine individual contract terms; checked September 22, 2026. ## How to agree make-goods for missed streamer deliverables URL: https://octomedia.agency/blog/streamer-sponsorship-make-goods/ Language: en Author: Alexei Volkov — https://octomedia.agency/team/alexei-volkov/ A make-good is an agreed remedy for a delivery problem, not an automatic entitlement to more content whenever results disappoint. Identify the missed obligation, establish the evidence, assign responsibility under the agreement and select a proportionate remedy. Confirm the replacement scope, eligibility, timing and acceptance method in writing before asking the creator to perform additional work. Account managers resolving incomplete or disrupted creator sponsorship delivery. ### Classify the problem before proposing compensation Start with the signed obligation and the actual event. A segment that never aired, a clip that lacked an agreed component and a placement that produced weak commercial results are different cases. The first two may be delivery issues; the last depends on any expressly agreed performance commitment. Avoid describing every unfavorable outcome as a breach. Our editorial recommendation is to open a short issue record containing the asset identifier, expected delivery, observed delivery and evidence link. Record disputed facts as disputed rather than choosing a convenient interpretation. Include the creator’s explanation and the brand’s dependencies. A missing approval or broken destination supplied by the buyer may matter as much as a creator’s publishing error. ### Preserve evidence while it is available Capture the relevant timestamps, approved version, publication URL, monitoring record and correspondence. Identify when the issue began and ended. A scheduled hour is not necessarily an hour of delivered sponsorship, but neither does a brief interruption necessarily invalidate the entire session. Use the agreement’s acceptance rules and available evidence. Separate factual preservation from public accusation. Give the designated commercial owner a compact record that can be checked without reading the whole campaign chat. If native analytics are delayed or a recording is unavailable, explain that limitation. Do not fill the gap with an invented audience estimate. The goal is to agree what happened well enough to choose a remedy, not to construct a misleadingly precise loss calculation. ### Compare remedies against the original purpose Possible negotiated remedies include correcting an asset, replacing a placement, extending an agreed retention window, issuing a credit or adjusting a fee. Availability depends on the contract and the parties’ agreement. Evaluate whether the remedy actually addresses the missed purpose rather than adding inexpensive inventory the sponsor cannot use. Synthetic example: an agreed clip was not published because the final asset arrived after its deadline. The parties may agree a new publication window or a fee adjustment after examining responsibility and campaign timing. A replacement after a time-sensitive launch may have different value. Do not present extra minutes or impressions as automatically equivalent; record the basis for the negotiated resolution and its limitations. ### Recheck the replacement rather than copying approval A make-good is a new operational event. Recheck its date, market, product, creator availability and platform rules. Twitch’s branded-content policy prohibits risky gambling promotion including online slots and roulette websites, so a missed placement cannot be remedied by moving that promotion onto Twitch. The remedy must itself be eligible. Review derivative content rights as well. Copyright fundamentals explain why additional reuse should not be assumed from file possession; the specific permissions still come from the applicable agreement and law. If the proposed remedy involves a new edit, account or advertising use, obtain the required approval. Commercial pressure to close an issue is not a reason to bypass either gate. Source: [Twitch — Branded Content Guidelines](https://help.twitch.tv/s/article/branded-content-policy) Source: [U.S. Copyright Office — What is Copyright?](https://www.copyright.gov/what-is-copyright/) ### Write a bounded replacement work order Document the asset, quantity, publication window, supplied materials, approval deadline and proof of acceptance. State whether the remedy changes the original fee or closes only a specified part of the dispute. Give the creator one accountable contact. An instruction to do something extra later creates another unresolved obligation instead of resolving the first one. Set a practical review deadline and distinguish correction requests from fresh scope. If the sponsor changes the product or messaging after agreeing the replacement, reopen the schedule and commercial impact. Do not create a chain of indefinite free revisions. The internal issue log should show the original obligation, agreed remedy and actual completion as separate records linked to the same case. ### Close the issue and change the failed control Accept the remedy using the same evidence discipline as ordinary delivery. Record the close date, financial treatment, remaining disagreement and people who confirmed the result. Keep invoice status consistent with the negotiated resolution so finance does not accidentally charge or withhold an amount twice. Then ask what would have prevented the original issue: earlier approvals, better rehearsal, a backup moderator or clearer acceptance language. Assign one improvement to an owner and check it in the next campaign. A make-good that restores delivery but leaves the same broken handoff in place is an expensive recurring process. The worksheet below is a negotiation record and should be adapted to the agreement, not treated as a universal legal remedy schedule. Decision | Required record | Owner --- | --- | --- Missed obligation | Asset and signed acceptance rule | Account lead Observed event | Timestamped evidence | Producer Responsibility | Agreed facts and disputed points | Commercial lead Remedy selection | Purpose and negotiated treatment | Buyer Replacement approval | Platform, rights and new window | Reviewer Closeout | Acceptance and financial adjustment | Finance liaison ### Worksheet and questions [Download CSV](https://octomedia.agency/downloads/manager-guides/streamer-sponsorship-make-goods.csv) **Does low conversion performance justify a free replacement?** Only if the agreement creates a relevant obligation or the parties choose that remedy. A disappointing forecast does not automatically transform completed content into undelivered work. **Can a make-good use another platform?** Only after reviewing eligibility, rights and the changed commercial value, and obtaining agreement. Do not assume the replacement channel permits the same gambling promotion. **Who should accept the remedy?** Name the commercial owner and production approver in the replacement work order. Finance should receive the agreed closeout and any fee adjustment after those owners verify completion. ### Sources - [Twitch — Branded Content Guidelines](https://help.twitch.tv/s/article/branded-content-policy): Platform branded-content restrictions, including risky gambling sponsorship; checked September 22, 2026. - [U.S. Copyright Office — What is Copyright?](https://www.copyright.gov/what-is-copyright/): US copyright fundamentals and exclusive rights; does not determine individual contract terms; checked September 22, 2026. ## Livestream sponsorship disclosure checklist for managers URL: https://octomedia.agency/blog/livestream-sponsorship-disclosure-checklist/ Language: en Author: Alexei Volkov — https://octomedia.agency/team/alexei-volkov/ A disclosure checklist should test what viewers actually receive, not just whether a creator selected a platform setting. Identify the commercial relationship, applicable market guidance, language and content format. Review the rendered disclosure before publication, monitor it during the sponsored content, and check edited clips separately. Disclosure does not make a prohibited product or ineligible campaign permissible. Producers and reviewers checking sponsorship transparency in approved live content. ### Identify the relationship that needs explaining Record what the creator receives and from whom: payment, affiliate compensation, supplied benefits or another relevant relationship. Keep the description factual and consistent across the brief, published content and reporting. If several parties are involved, clarify which brand the viewer is being asked to understand as the sponsor. The checklist should also identify the intended audience and governing review. Do not treat an English-language stream as proof that only one country’s rules matter. Have the responsible reviewer determine the applicable requirements for the actual campaign. Our workflow recommendations help organize that decision; they are not universal legal wording and should not be copied into every market without examination. ### Test disclosure as a viewer encounters it The FTC recommends clear, noticeable disclosure and periodic repetition during live streams so later arrivals are informed. It also cautions against relying solely on platform tools. For a US-facing review, that means evaluating the content itself rather than checking only the publishing dashboard. Preview the actual output on a small screen and at the intended resolution. Check whether a visual message is obscured by captions, interface controls or graphics. Listen to the spoken version in context and confirm the language matches the endorsement. Record the reviewer’s decision and any required correction. This is an editorial testing method, not a claim that a particular font size or fixed repetition interval guarantees compliance. Source: [FTC — Disclosures 101 for Social Media Influencers](https://www.ftc.gov/business-guidance/resources/disclosures-101-social-media-influencers) ### Build disclosure cues into production Put disclosure cues in the run sheet beside the relevant sponsored portions. Name the person responsible for the spoken statement, visual treatment and platform setting. Where a stream has breaks or changing segments, agree how the producer will keep the disclosure appropriate to the content viewers are seeing. Give the moderator an escalation instruction if the disclosure disappears or a sponsored segment begins unexpectedly. The instruction should identify whom to contact and what can be paused or corrected. Do not depend on the creator remembering every detail while also hosting and reading chat. A short rehearsal can reveal whether the production design makes the approved instruction practical or creates a conflict between readability and the planned overlay. ### Keep product eligibility separate from disclosure On Twitch, risky gambling branded content includes prohibited promotion of online slots or roulette websites. Checking a branded-content option does not make that promotion eligible. The first campaign gate is whether the proposed content may run; the disclosure checklist applies only after that question has been properly addressed. Keep separate status fields for product eligibility, creative approval and disclosure readiness. This prevents a technically correct disclosure from turning the whole row green while a category issue remains open. If publication is prohibited or materially uncertain, escalate the placement instead of trying more subtle sponsorship wording. The intended outcome is a transparent, permitted campaign, not a disclaimer attached to an otherwise unacceptable plan. Source: [Twitch — Branded Content Guidelines](https://help.twitch.tv/s/article/branded-content-policy) ### Review every derivative publication A short clip may start after the live disclosure, crop out the overlay or reach a different audience in another context. Treat it as its own asset with an identified reviewer. Compare the clip against the approved source and check whether the commercial relationship remains understandable without the original livestream. Synthetic example: an editor cuts a permitted sponsored segment into a vertical highlight and removes the first sentence for pacing. The quality check notices that the removed sentence carried the disclosure. The editor restores suitable disclosure within the approved format before release. The example demonstrates a production risk, not a claim that one phrasing satisfies every jurisdiction. Record the corrected file identifier so the old export is not accidentally scheduled. ### Store evidence and assign correction ownership Save the approved instruction, a rendered preview, relevant live timestamps and derivative review decisions. Record what was checked, by whom and when. Avoid collecting unrelated viewer information as proof; the evidence should show the sponsored content and the disclosure that accompanied it. If a problem occurs, preserve the facts, notify the accountable reviewer and follow the correction or takedown process appropriate to the campaign. Update any still-scheduled derivatives. At closeout, identify whether the cause was unclear instructions, an editing change, a missing setting or a production failure. The worksheet below is useful for accountability, but it cannot certify compliance by itself. Current platform rules and the relevant market review remain necessary for each campaign. Decision | Required record | Owner --- | --- | --- Relationship | Sponsor and compensation type | Account manager Market review | Applicable guidance and decision | Reviewer Spoken treatment | Approved instruction and rehearsal | Creator Visual treatment | Rendered preview | Producer Platform setting | Verified where required | Publisher Live monitoring | Timestamps and exception record | Moderator Derivative review | Each clip approved separately | Editor ### Worksheet and questions [Download CSV](https://octomedia.agency/downloads/manager-guides/livestream-sponsorship-disclosure-checklist.csv) **How often must a live disclosure repeat?** Do not invent a universal minute interval. FTC guidance calls for periodic repetition; the reviewer should assess the stream’s structure and whether people joining partway through receive a clear disclosure. **Is the platform paid-partnership label enough?** Do not assume so. Review the rendered endorsement and applicable guidance alongside the platform feature. The label also does not override product or advertising-category restrictions. **Do edited clips need another check?** Yes as an operational safeguard. The new beginning, crop, captions, destination and audience context can change whether the sponsorship is clear even if the original stream was reviewed. ### Sources - [FTC — Disclosures 101 for Social Media Influencers](https://www.ftc.gov/business-guidance/resources/disclosures-101-social-media-influencers): US guidance on clear disclosures and periodically repeating them in live content; checked September 22, 2026. - [Twitch — Branded Content Guidelines](https://help.twitch.tv/s/article/branded-content-policy): Platform branded-content restrictions, including risky gambling sponsorship; checked September 22, 2026. ## Streamer campaign launch QA: a practical go or no-go checklist URL: https://octomedia.agency/blog/streamer-campaign-launch-qa/ Language: en Author: Alexei Volkov — https://octomedia.agency/team/alexei-volkov/ Launch QA should establish that the approved campaign is the campaign about to publish. Compare the final asset, destination, market, tracking, disclosure and run sheet against their accepted versions. Test important failure paths, assign an incident owner and record the go or no-go decision. Unresolved critical dependencies should block the affected placement rather than disappear in a general readiness score. Campaign leads coordinating production, analytics, compliance and creator teams at launch. ### Freeze the exact launch package Create a manifest containing asset identifiers, publishing accounts, destination URLs, campaign identifiers, planned windows and approval references. Give it a version and name the person who can change it. The manifest should point to final materials rather than a folder containing both drafts and approved files. Our editorial recommendation is to freeze the package early enough for a meaningful rehearsal, with a controlled exception process for late changes. A changed link can alter the operator, language, market or tracking path even when the visible text is identical. Treat those changes as reviewable events. The launch lead needs a record of what was tested, not merely a statement that somebody tested something last week. ### Verify eligibility and creative approval separately Check that the intended product, creator, market and channel match the scope reviewed by the qualified owner. For UK-facing gambling advertising, ASA guidance on youth appeal and creator suitability illustrates why a generic adult-audience label is insufficient. Record the actual decision and conditions rather than assuming an old campaign’s approval still applies. Then compare the final creative with the approved version. Confirm that the destination, offer language and supporting claims have not drifted during editing. If a material condition is unresolved, block that placement and identify the owner needed to resolve it. Production readiness cannot substitute for eligibility, and a deadline should not turn an unreviewed change into an accepted one. Source: [ASA — Odds are your gambling post is an ad](https://www.asa.org.uk/news/odds-are-your-gambling-post-is-an-ad.html) ### Test destinations and measurement without real customer activity Open the approved destination on relevant device sizes and confirm its language, branding and expected behavior. Verify that campaign parameters survive the authorized redirect path. Use the operator’s approved test method for tracking events, with test identifiers clearly excluded from commercial reporting. Do not generate real gambling activity simply to produce a convenient conversion screenshot. Capture the test time, observed result and limitation. A successful page load does not prove every later attribution step works. If an event cannot be tested in the available environment, mark it unverified and obtain an explicit measurement decision from the responsible owner. Keep QA observations distinct from real campaign performance so synthetic events do not inflate launch results. ### Rehearse the audience-facing presentation Preview the whole rendered scene: audio, overlays, captions, disclosure, link placement and any moderator messages. FTC guidance makes sponsorship transparency an audience-facing question; the production team should therefore inspect what a viewer encounters rather than relying solely on an approval document. Confirm that the approved message is still accurate in the final composition. Check the handoff between host, producer and moderator. Each person should know their cue, the current asset and the backup contact. Include a short failure drill, such as a destination becoming unavailable. The purpose is to reveal coordination gaps before publication, not to rehearse a perfect sequence that assumes every dependency behaves exactly as expected. Source: [FTC — Endorsement Guides: What People Are Asking](https://www.ftc.gov/business-guidance/resources/ftcs-endorsement-guides-what-people-are-asking) ### Use severity and ownership to make the launch decision Classify issues by their effect on the specific placement. An unapproved product or materially misleading statement is different from a cosmetic spacing problem. Assign each issue an owner, next action and decision deadline. Avoid a percentage-complete score that suggests several minor successes can cancel out one critical failure. Synthetic example: all creative checks pass, but the final destination redirects to a different market version. The launch lead holds the affected placement until the correct destination is restored and retested. An unrelated approved asset may proceed only if it is genuinely independent. This is a recommended decision pattern, not a universal rule about contractual cancellation or the legal consequences of a delay. ### Monitor the launch and preserve the tested state Name the person watching publication and the person authorized to stop an affected placement. Record actual publication times, final URLs and any deviation from the manifest. Continue monitoring long enough to catch the handoffs that matter for the agreed scope, and specify when responsibility transfers to ordinary campaign management. After launch, preserve the manifest, test evidence and issue resolution record. If a later report reveals an attribution discrepancy, these records help distinguish a launch configuration problem from a subsequent change. The worksheet below provides a compact decision log. Adapt its checks to the platform and campaign instead of treating a completed template as a guarantee that every possible defect has been eliminated. Decision | Required record | Owner --- | --- | --- Manifest | Final asset and URL versions | Producer Eligibility | Scope matches approval | Reviewer Destination | Device, language and redirects | QA owner Measurement | Authorized test and limitations | Analytics lead Rendered content | Audio, visuals and disclosure | Brand approver Go or no-go | Open issues and decision | Launch lead Monitoring | Stop authority and backup | Incident owner ### Worksheet and questions [Download CSV](https://octomedia.agency/downloads/manager-guides/streamer-campaign-launch-qa.csv) **Who makes the final go or no-go decision?** Assign one launch lead who can see the required approvals and unresolved issues. Specialist reviewers still own their decisions; the launch lead coordinates them rather than overriding missing eligibility or creative approval. **Can launch proceed with tracking uncertainty?** That requires an explicit commercial and measurement decision about the affected scope. Record what cannot be measured and do not later present unverified attribution as complete. **Should every small change trigger full QA again?** Retest the affected dependencies. A destination or claim change may need substantial review; a minor visual correction may need only a rendered check. Document the reasoning and the tested version. ### Sources - [ASA — Odds are your gambling post is an ad](https://www.asa.org.uk/news/odds-are-your-gambling-post-is-an-ad.html): UK gambling advertising guidance on youth appeal and creator suitability; checked September 22, 2026. ## How to manage streamer relationships between campaigns URL: https://octomedia.agency/blog/streamer-relationship-management/ Language: en Author: Alexei Volkov — https://octomedia.agency/team/alexei-volkov/ Manage a streamer relationship through reliable decisions: clear scope, consolidated feedback, predictable payment communication and honest performance reviews. Keep a shared action record and a private commercial record, then schedule contact around actual decisions rather than constant check-ins. A good relationship should make problems easier to surface early, without turning goodwill into an expectation of unlimited unpaid work. Creator and account managers responsible for retaining partners across several campaigns. ### Assign one accountable relationship owner Give the creator a named person who can coordinate brand, production and finance questions. That person does not need to make every decision, but should know who can and when an answer is due. Agree a normal communication channel, emergency route and working hours that respect both teams’ time zones. Our editorial recommendation is a short shared action list with the decision, owner and due date. Keep commercial negotiations and sensitive records in the appropriate restricted location. Avoid making the creator repeat the same question to several departments. When the manager changes, hand over unresolved commitments and context explicitly rather than introducing a new contact who has no record of what was promised. ### Make feedback specific and consolidated Separate a missed requirement from a preference and from a new request. Explain the relevant asset and the change needed. If several reviewers disagree, resolve that disagreement before sending feedback to the creator. A collection of contradictory comments is a coordination problem for the buyer, not an instruction the creator can reliably execute. Use the agreed revision boundaries. When a new product, language or format expands the work, open a scope conversation instead of relying on the relationship to absorb it. Ask for the creator’s view of what felt natural or awkward in the integration. Their observations are useful qualitative evidence, but they should be recorded as observations rather than treated as proven causes of campaign performance. ### Keep campaign standards stable when familiarity grows Repeat partnerships can make teams skip basic checks because everyone knows each other. Preserve the review of product, platform, market and creative whenever the scope changes. Long-standing trust does not authorize a prohibited category: Twitch’s risky gambling branded-content rule still includes online slots and roulette promotion. Keep approval instructions accessible and versioned. If a creator has a concern about the proposed content, provide a clear route to pause the affected work without turning the conversation into a loyalty test. Reliable relationships allow inconvenient facts to surface before publication. Do not measure relationship quality by how rarely the creator asks questions or how often they agree to last-minute requests. Source: [Twitch — Branded Content Guidelines](https://help.twitch.tv/s/article/branded-content-policy) ### Treat payment communication as part of delivery Tell the creator which invoice information is required, who confirms completion and where to ask about status. When a dispute affects only one item, ensure finance understands the distinction rather than freezing the whole relationship by accident. Follow the agreed terms and escalate ambiguity to the commercial owner. Maintain an internal record of approval, invoice receipt and payment status. Do not expose bank details or identity documents in the shared action list. If a delay occurs, explain the next action and responsible contact instead of sending vague reassurance. A manager who cannot authorize payment can still give accurate status and prevent the creator from having to reconstruct the buyer’s internal process. ### Discuss performance without rewriting the deal Review delivery, audience evidence, attribution limits and commercial outcomes separately. FTC guidance on truthful endorsements is relevant when feedback tempts a team to demand stronger personal claims than the creator can support. Improving a campaign must not depend on fabricated enthusiasm or experience. Synthetic example: the creator delivered the agreed content, but the destination failed during part of the session. The review recognizes completed work, records the technical limitation and identifies what cannot be inferred about conversion performance. It does not label the creator ineffective solely from the incomplete result. Equally, a friendly relationship should not hide repeated missed obligations. Use evidence and agreed expectations to discuss both strengths and problems. Source: [FTC — Endorsement Guides: What People Are Asking](https://www.ftc.gov/business-guidance/resources/ftcs-endorsement-guides-what-people-are-asking) ### Make renewal a deliberate decision Before renewing, ask whether the next campaign has a clear purpose, whether operational friction has been resolved and whether the proposed scope still fits the creator. Review restrictions, usage rights and outstanding commitments rather than automatically copying the old agreement. A renewal may be smaller, broader or inappropriate depending on the evidence. Set a decision date early enough for both sides to plan. If the partnership pauses, close open invoices, confirm rights expiry actions and record any future contact preference. The worksheet below helps managers preserve continuity without building a surveillance file about the creator. Store relevant business decisions and avoid unsupported personal judgments. A useful relationship record should help the next manager treat the partner fairly and act on actual commitments. Decision | Required record | Owner --- | --- | --- Primary contact | Owner, backup and time zone | Account lead Open decisions | Action and due date | Relationship manager Feedback | Consolidated requirement or change | Brand approver Finance status | Invoice stage and contact | Finance liaison Performance review | Evidence and limitations | Analyst Renewal | Purpose, scope and decision date | Commercial lead Offboarding | Access, rights and open obligations | Operations lead ### Worksheet and questions [Download CSV](https://octomedia.agency/downloads/manager-guides/streamer-relationship-management.csv) **How often should a manager check in?** Tie contact to production milestones, open decisions and the creator’s preference. There is no universal weekly cadence that suits every relationship; unnecessary meetings can create work without resolving anything. **Should creators receive campaign results?** Share the agreed, relevant results with definitions and limitations, protecting sensitive information. Explain what the data can support and invite operational feedback without implying that correlation proves causation. **When should a partnership end?** Consider whether the purpose, eligibility, delivery reliability and working relationship remain suitable. Resolve contractual obligations and outstanding payments through the agreed process rather than simply stopping communication. ### Sources - [Twitch — Branded Content Guidelines](https://help.twitch.tv/s/article/branded-content-policy): Platform branded-content restrictions, including risky gambling sponsorship; checked September 22, 2026. - [FTC — Endorsement Guides: What People Are Asking](https://www.ftc.gov/business-guidance/resources/ftcs-endorsement-guides-what-people-are-asking): US endorsement guidance, including advertiser responsibilities and disclosure; checked September 22, 2026. ## How to run a useful streamer campaign postmortem URL: https://octomedia.agency/blog/streamer-campaign-postmortem/ Language: en Author: Alexei Volkov — https://octomedia.agency/team/alexei-volkov/ A campaign postmortem should explain what happened, what the evidence supports and what will change before the next launch. Reconstruct the timeline, separate delivery from performance, identify measurement limitations and select a small number of owned improvements. Use the review to improve decisions rather than blame individuals or turn uncertain attribution into a confident story about success or failure. Campaign leads reviewing completed creator activity before another budget or renewal decision. ### State the decision the review must inform Decide whether the review supports renewal, a change in production, a measurement repair or a new test. That question determines which evidence belongs in the meeting. A report assembled only to celebrate reach can miss the unresolved issue that will affect the next budget decision. Our editorial recommendation is to gather the agreed scope, accepted assets, timeline, analytics definitions, costs and open disputes in advance. Mark preliminary data and missing records. Give participants a chance to correct factual errors before discussion. The review should not require the creator or analyst to defend a surprise number whose date range or definition was never explained to them. ### Reconstruct the timeline without assigning blame first List material events: approval, asset handoff, testing, publication, interruptions, corrections and reporting availability. Record what the team knew at each point. Avoid using knowledge gained afterward to imply that an earlier decision was obviously unreasonable. Preserve the difference between an observed event and someone’s interpretation of it. Google’s SRE guidance describes blameless postmortems and action-oriented learning in reliability work. This article adapts that approach to campaign operations; it is not evidence that a specific meeting format increases marketing returns. Ask which conditions made the outcome likely: unclear ownership, late changes, inaccessible evidence or missing checks. The purpose is to identify a change the team can actually make. Source: [Google SRE — Postmortem Culture: Learning from Failure](https://sre.google/sre-book/postmortem-culture/) ### Evaluate delivery before commercial outcomes Compare each agreed deliverable with its acceptance record. Note missing work, accepted corrections and negotiated make-goods. Keep invoice treatment aligned with the commercial agreement. Then examine exposure and commercial data using their documented definitions, windows and exclusions. Completed production and poor return can coexist; incomplete production and a good result can coexist too. Synthetic example: all agreed clips were delivered, but two used different attribution settings. The team can establish delivery while limiting its conclusions about comparative acquisition performance. It should not rank the creators confidently using incompatible numbers. Show the discrepancy and identify the repair needed before the next test. This example is a reasoning exercise, not an account of client results. ### Audit claims, disclosures and derivative changes Review whether actual publication matched the approved content and sponsorship treatment. FTC guidance provides a relevant US reference for endorsement transparency; a postmortem should check recorded execution rather than assuming the brief was followed. Include clips or reposts that changed the original context, particularly if the team discovered a problem after publication. Keep the factual incident record separate from legal conclusions. A manager can identify a missing production step without declaring a universal legal violation or clearance. Route material concerns to the appropriate reviewer, preserve evidence and track the agreed correction. Also note where controls worked: a blocked asset or timely correction can provide a repeatable practice even when it does not produce an impressive headline metric. Source: [FTC — Endorsement Guides: What People Are Asking](https://www.ftc.gov/business-guidance/resources/ftcs-endorsement-guides-what-people-are-asking) ### Distinguish attribution limits from causal explanations Campaign data may show that a result followed a placement without proving the placement caused it. Record concurrent activity, destination issues, reporting delays and differences in measurement. Use these limitations to narrow the conclusion, not to dismiss every result as unknowable. Decide what evidence is sufficient for the business decision in front of the team. Avoid inventing benchmark conversion rates to make the report look complete. If the next step is another test, specify what will stay consistent and what question it will answer. A smaller, better-instrumented comparison may be more useful than repeating a large campaign with the same blind spots. The postmortem should make uncertainty actionable by linking it to a concrete measurement or process improvement. ### Assign actions with proof of completion Choose a manageable set of changes and give each an owner, due date and verification method. Replace vague actions such as improve communication with an observable change: one consolidated approval owner, a tested backup contact or a versioned destination manifest. Record the next campaign where the change will be checked. Close the meeting by documenting the renewal or testing decision and any conditions attached to it. Revisit open actions before the next launch, because a polished report does not improve operations unless its changes are implemented. The worksheet below keeps findings, decisions and corrective work distinct. Archive the review with its supporting evidence and definitions so future teams can understand the conclusion without inheriting an exaggerated success or failure narrative. Decision | Required record | Owner --- | --- | --- Review purpose | Renewal, repair or next test | Campaign lead Timeline | Observed events and timestamps | Producer Delivery | Accepted and disputed assets | Account manager Measurement | Definitions and missing evidence | Analyst Publication review | Claims and disclosure observations | Reviewer Action | Owner, due date and verification | Operations lead Next decision | Conditions for renewal or test | Budget owner ### Worksheet and questions [Download CSV](https://octomedia.agency/downloads/manager-guides/streamer-campaign-postmortem.csv) **Should the creator attend the review?** Include them where their production context or feedback helps, and share relevant evidence beforehand. Keep confidential internal commercial material in the appropriate separate discussion. **How soon should the review happen?** Capture operational facts promptly, then distinguish preliminary from mature performance data. If reporting arrives later, update the decision record instead of postponing every useful production improvement. **What is the most useful output?** A defensible next decision and a small set of verifiable changes. A long list of observations without owners or a report that cannot distinguish facts from assumptions is less actionable. ### Sources - [Google SRE — Postmortem Culture: Learning from Failure](https://sre.google/sre-book/postmortem-culture/): Primary account of blameless incident reviews, adapted here as an editorial campaign process; checked September 22, 2026. ## How to test affiliate tracking software before buying URL: https://octomedia.agency/blog/affiliate-tracking-software-proof-of-concept/ Language: en Author: Alexei Volkov — https://octomedia.agency/team/alexei-volkov/ Choose affiliate tracking software by replaying your actual operating decisions in a controlled proof of concept. Require evidence that a click becomes the right event, corrections change the ledger predictably, and finance can reproduce the result. A feature checklist starts the conversation; an exportable acceptance record should determine whether the system is ready for your program. Affiliate operations and finance managers deciding which tracking platform to procure. ### Define the decision before the demonstration Start with three workflows your team cannot afford to handle manually: identifying an eligible acquisition, explaining a disputed commission, and closing a reporting period. Write the input, expected output, responsible role and acceptable delay for each. This is an editorial procurement method, not a ranking of vendors. Document your actual brands, currencies, languages and integration boundaries. Separate requirements that must work on day one from features you might use later. An attractive enterprise feature is not useful if your operator cannot provide its required data. Ask vendors to respond against the same brief and identify dependencies they do not control. Source: [Everflow — Server-to-server tracking](https://helpdesk.everflow.io/customer/understanding-tracking-with-server-to-server-postbacks) Source: [Scaleo — Affiliate page overview](https://help.scaleo.io/article/511-affiliate-page-overview) ### Prove the identifier journey Everflow documents a transaction identifier connecting a click to a later server notification. Scaleo documents its own affiliate postback configuration. Those examples establish possible workflows, not interoperability between every installation. Ask each bidder to demonstrate your proposed mapping in a sandbox using the implementation version they intend to supply. Your acceptance exercise should include a normal event, an unknown click, a repeated notification and a delayed event. Let your engineer select synthetic records, then have a business user explain the outcome without vendor coaching. Preserve timestamps and redacted logs. A demonstration only becomes procurement evidence when another employee can repeat it. Source: [Everflow — Server-to-server tracking](https://helpdesk.everflow.io/customer/understanding-tracking-with-server-to-server-postbacks) Source: [Scaleo — Affiliate page overview](https://help.scaleo.io/article/511-affiliate-page-overview) ### Compare evidence instead of checkbox counts Use a small scorecard with pass, conditional and fail outcomes. A conditional result must name a remediation owner, delivery date and retest. Keep hard requirements outside a weighted average: excellent dashboards cannot compensate for the inability to export evidence required for settlement. The illustrative table below is an editorial starting point, not an industry standard. Ask for the least privileged user account needed for each task. Test whether a creator-facing user can see another partner’s records, whether finance can export corrections, and whether administrators leave a useful change history. Record what you actually observed; do not turn an answer from a salesperson into a passed technical test. Test | Evidence required --- | --- Duplicate event | One accepted business event or explained documented behavior Correction | Trace from original to revised value Exit | Readable export with stable identifiers ### Make finance reconstruct one period Give finance a synthetic event file and a written commercial rule, then compare an independently calculated expected result with the software output. Include a correction after the initial report, a currency mismatch and an ineligible event. The purpose is to reveal interpretation differences before migration, not to assume a universal definition of net gaming revenue or qualified acquisition. If a calculation is implemented through custom work, request ownership, maintenance and change pricing in writing. Ask what happens when a rule changes halfway through a period. Historical results should remain explainable under the rule that governed them, even when the current dashboard uses a newer configuration. ### Price the switch as well as the subscription Build a whole-project estimate including integration, data cleanup, training, parallel reporting, premium support and exit assistance. Use your own workload estimates and show uncertainty. A low license price can still require expensive internal support; a higher quote can still be poor value if its promised integration is unavailable. Request a sample export before signing. Confirm which identifiers, event histories and rule versions survive termination, how long retrieval remains possible and what assistance costs. Run an actual import of the sample into a neutral working file. This checks whether the promised exit path is usable rather than merely described in a contract. ### Set a written purchase gate End the proof of concept with one decision note: passed requirements, unresolved defects, approved exceptions and the person accepting each exception. Set a retest date after material integration changes. Keep real customer data out of early demonstrations where synthetic records can answer the same question. Your data and compliance owners should approve any later production access. For regulated campaigns, software capability does not establish permission to advertise in a market or on a platform. Maintain those decisions separately. Use the downloadable worksheet to capture evidence links and owners, then attach it to the procurement record so the purchase can be defended after the vendor team changes. ### Worksheet and questions [Download CSV](https://octomedia.agency/downloads/manager-guides/affiliate-tracking-software-proof-of-concept.csv) **Should we buy the platform with the most integrations?** Only when those integrations match your actual data flow and can be demonstrated. A listed connector may still need configuration, custom events or a separate commercial agreement. **Does server-to-server tracking guarantee complete attribution?** No. Identifiers can be lost, events can be missing and matching rules can be wrong. Test the full journey and document the remaining blind spots. **How many vendors should enter the proof of concept?** Use the smallest shortlist that gives a meaningful comparison within your team’s capacity. Every additional vendor requires the same acceptance evidence to keep the decision fair. ### Sources - [Everflow — Server-to-server tracking](https://helpdesk.everflow.io/customer/understanding-tracking-with-server-to-server-postbacks): Explains click transaction identifiers and advertiser postbacks. Checked September 22, 2026. ## Affiliate postback QA: test cases before launch URL: https://octomedia.agency/blog/affiliate-postback-qa-test-cases/ Language: en Author: Alexei Volkov — https://octomedia.agency/team/alexei-volkov/ Approve a postback integration only after a controlled event can be followed from the original click through the receiver’s stored conversion and business report. Test failure cases as deliberately as the happy path. A successful network response is useful transport evidence, but it does not establish correct attribution, event qualification or commission treatment by itself. Affiliate managers and integration owners signing off server-to-server conversion tracking. ### Write the event contract in business language List every event the campaign needs and define its business meaning before copying a callback URL. A registration, first deposit and qualified acquisition may be different states. State which system makes each decision, whether a later review can reverse it, and which timestamp determines the reporting period. Avoid inventing a universal definition for a qualified first-time depositor. For every field, record its meaning, format, allowed absence and owner. Keep the click identifier separate from the business transaction identifier when your architecture uses both. Ambiguous labels such as transaction are a reason to ask for a mapping example. They are not evidence that two products mean the same thing. Source: [Everflow — Server-to-server tracking](https://helpdesk.everflow.io/customer/understanding-tracking-with-server-to-server-postbacks) ### Trace the exact identifier mapping Scaleo’s Everflow integration guide provides one specific example of carrying its click identifier through an Everflow sub parameter and returning it. Use that as a vendor-specific reference, not a template to paste into every tracker. Your actual account settings, macros and event configuration must match the integration you are testing. Generate a fresh synthetic click and save the identifier at each boundary. Check the landing redirect, operator storage, outgoing notification and receiver lookup. Redact secrets before sharing logs. If the value changes, find the first boundary where it changes rather than repeatedly editing the last callback in the chain. Source: [Scaleo — Everflow integration](https://help.scaleo.io/article/402-everflow) ### Run failures with expected outcomes Build a matrix before sending tests. Write the expected response and expected ledger result separately because they answer different questions. The illustrative cases below are editorial acceptance tests, not claims that every product implements the same deduplication or retry behavior. Confirm those behaviors with the vendor and your engineering team. Use a test environment or an explicitly designated synthetic partner so failures do not create payable production records. Include event order reversal: a late registration arriving after another event can reveal hidden assumptions. Mark each case with the exact configuration version so a later successful retest does not erase evidence of the original fault. Synthetic case | Expected evidence --- | --- Unknown click | Documented reject or unmatched handling Repeated event | Documented duplicate handling Late event | Correct period and visible receipt time Correction | Traceable revised business status ### Inspect transport and stored records separately For each attempt, capture send time, response time, status, a redacted payload reference and the receiver’s record identifier. Then open the reporting view used by the manager who will approve invoices. Confirm the event is attributed to the intended partner and offer, carries the right currency and appears in the agreed period. If the network response is successful but the report is empty, check processing delay, rejection logs, filters and event configuration before assuming the event was dropped. Ask for a documented maximum delay for your integration. Do not create a new conversion simply to make the dashboard look right; that can hide a duplicate or unresolved ingestion problem. ### Test correction and outage recovery Ask the integration owner how rejected, reversed and corrected events are represented. Test that mechanism with synthetic records and compare the original and revised reports. A subtraction in one export and a replaced row in another can produce different reconciliation behavior even when the final headline total matches. Save the record history needed to explain the difference. Simulate an unavailable receiver in an approved environment. Establish which side retries, how attempts are identified and when humans are alerted. Avoid asserting that an HTTP success means the commercial event was accepted. Define who can replay failed events and how that person avoids reintroducing events already stored successfully. ### Turn the matrix into a launch gate Assign one person to resolve every failed case and one person to accept the completed integration. Sign-off should include the event contract, test matrix, redacted evidence and known limitations. Decide which failures stop traffic and which only delay a nonessential report. A missing commercial identifier normally deserves a stronger response than a cosmetic label error. Schedule another check when a landing page, tracker, operator endpoint or event definition changes. Technical readiness does not replace market eligibility or privacy review. Keep production access limited and use synthetic fixtures whenever possible. The worksheet provides a reusable case register that can accompany your campaign launch checklist without exposing customer information. ### Worksheet and questions [Download CSV](https://octomedia.agency/downloads/manager-guides/affiliate-postback-qa-test-cases.csv) **Can we approve tracking after one successful test?** One success proves one path. Include repeated delivery, missing identifiers and delayed events before approving a workflow that will support commercial reporting. **Should the affiliate manager inspect code?** The manager should own event meaning and acceptance evidence. Engineers should own payload implementation, authentication, logs and controlled replay procedures. **What if the two systems show different totals?** Align event definitions, status, time zone, filters and processing cutoff first. Reconcile record identifiers before changing payout totals or manually adding conversions. ### Sources - [Everflow — Server-to-server tracking](https://helpdesk.everflow.io/customer/understanding-tracking-with-server-to-server-postbacks): Explains click transaction identifiers and advertiser postbacks. Keep platform, channel, campaign and placement in separate fields, give every published link an owner, and test the final destination. UTMs describe campaign traffic in analytics; they do not independently establish affiliate commission ownership or prove that a viewer was eligible for an offer. Acquisition managers standardizing creator links across platforms and reporting teams. ### Decide what each field means Google’s campaign URL documentation identifies source, medium, campaign and content as distinct reporting inputs, and notes that values are case-sensitive. Build your own dictionary around those roles. Our editorial convention uses platform as source, the approved marketing channel as medium, a stable campaign name, and a non-personal placement code as content. Choose the convention with the analyst who maintains your channel reports. A technically valid value can still land in an unexpected reporting group. Do not promise that a custom label such as creator_sponsorship automatically belongs to a particular default channel. Check the actual report and document any custom grouping your team chooses to maintain. Source: [Google Analytics — Campaign URL builders](https://support.google.com/analytics/answer/10917952?hl=en) ### Separate permanent IDs from editable names Creators can change handles and campaign names can change after approval. Keep a stable internal creator code in your registry and map it to the current display name there. A placement code can combine that creator code, format and version without carrying a private person’s name or contact details. This is an editorial data-management choice, not a Google-required syntax. Freeze the values used in published links. If someone corrects a typo later, record the old value as an alias instead of silently rewriting your historical dictionary. Otherwise the same campaign can appear to improve merely because one reporting filter stopped including its earlier traffic. Keep the change date and affected placements with the correction. ### Use a small synthetic naming example The table is a synthetic naming example for an approved hypothetical campaign, not a recommendation to advertise gambling in a particular market. Campaign and placement labels are illustrative. The important property is that each field answers a different question and the values remain consistent across a team’s link inventory. Store the full destination and its approved market beside the tags. If the destination already contains a query string, add parameters with a URL-aware builder that preserves existing fields and fragments. Avoid appending a second question mark or replacing an affiliate identifier. Open the generated result and inspect the final destination after redirects before giving it to a creator. Field | Synthetic value | Purpose --- | --- | --- utm_source | youtube | Platform utm_medium | creator_sponsorship | Approved internal channel label utm_campaign | pilot_2026_09 | Stable campaign utm_content | cr014_description_v1 | Creator and placement code ### Protect the fields from personal information Google’s guidance prohibits sending information it can recognize as personally identifiable information to Analytics, including through campaign parameters. Do not put an email address, phone number or customer name into a tracking value. A public URL is also an unsuitable place for a private commercial note or account secret. Use the registry for internal context and restrict access according to your organization’s rules. If the requested label seems to need individual customer information, stop and ask the analytics owner to design a different measurement path. Naming convenience is not a reason to expose personal data. Review destination query fields as well as the five familiar UTM fields. Source: [Google Analytics — Avoid personally identifiable information](https://support.google.com/analytics/answer/6366371?hl=en) ### Test the published placement, not only the builder A clean generated URL can still be changed by a link hub, shortener, description editor or redirect. Test the exact link from the creator’s approved draft or a controlled preview. Confirm its destination, retained campaign fields, affiliate identifiers and permitted content. Record the device and test time so the team can reproduce a failure. Have an analyst confirm that the intended source and campaign appear in the appropriate acquisition report after its normal processing period. Keep this separate from a server-to-server conversion test. Both can pass independently while the commercial attribution remains wrong. Record which system answers traffic questions and which system governs settlement under the signed agreement. ### Maintain the registry through the campaign Give one owner permission to issue new campaign names and allow trained operators to create placements inside that dictionary. Use a status field such as draft, approved, published or retired. Before a weekly reporting review, group unexpected values and assign someone to resolve them against the registry instead of casually merging everything that looks similar. Retain retired links so old videos and archived descriptions remain explainable. If a destination must change, check the replacement’s eligibility and repeat the redirect test. Download the registry worksheet and use the UTM tool with synthetic or approved destinations. The tool formats a link; your team still owns approval, reporting interpretation and the accuracy of every input. ### Worksheet and questions [Download CSV](https://octomedia.agency/downloads/manager-guides/utm-naming-convention-creator-campaigns.csv) **Should every creator be a different utm_source?** In this editorial convention, source is the platform and a stable creator code belongs in content. A different existing convention can work if it is documented and consistently reported. **Can UTMs replace affiliate tracking IDs?** No. Keep the affiliate identifier required by your agreed integration. UTMs provide an analytics label and may not control the contractual attribution decision. **Should internal site links have campaign tags?** Avoid reusing this external campaign convention for internal navigation. Ask your analyst to measure internal placements separately so acquisition reporting remains interpretable. ### Sources - [Google Analytics — Campaign URL builders](https://support.google.com/analytics/answer/10917952?hl=en): Defines campaign parameters, case sensitivity and acquisition reporting. Record the credit rule, eligibility conditions, validity period and evidence used to resolve conflicts. Code redemption can identify a campaign association, but it does not prove the redeemer saw the original creator or that the campaign caused an incremental acquisition. Affiliate and creator managers resolving overlap between link attribution and promotional codes. ### Distinguish a code from an attribution rule A code can unlock an offer, identify a partner, do both or do neither, depending on the implementation. Scaleo documents a promo-code attribution method that can work without a tracking link. That product capability is not a universal rule for other platforms or for your own commercial contract. Ask the operator to demonstrate the actual behavior. Create separate fields for customer benefit, reporting association and payable credit. This prevents a common disagreement in which the commercial team thinks a code grants ownership while engineering treats it only as an offer selector. Decide who can change each field and when the change becomes effective. Source: [Scaleo — Affiliate page overview](https://help.scaleo.io/article/511-affiliate-page-overview) ### Write precedence in plain language Describe the situations that could create competing claims: one creator’s link followed by another creator’s code, an existing account using a new code, a code entered after a previous acquisition, or an expired code cached in an old video. Specify the intended credit outcome for each before discussing implementation details. Our editorial recommendation is to keep the signed commercial rule and system configuration side by side. Do not adopt last click, first click or code override because a dashboard happens to default to it. Ask finance and the operator owner to approve the rule, then tell affected creators how disputes will be evaluated using the same language. ### Make ambiguous journeys testable Use the synthetic decision matrix below to define expected outcomes, leaving the final commercial choice to the parties. The table deliberately does not award credit automatically. A policy is complete only when someone can take a specific journey and determine which evidence is needed to decide it. Test one example of each journey with controlled records. Save the click partner, entered code, acquisition status and resulting attribution. Check whether reporting retains both the click and code association even when only one party receives payment. If it does not, document that limitation before promising creators an audit trail the platform cannot provide. Synthetic journey | Decision to document --- | --- Creator A link plus Creator B code | Which signal governs credit? Existing account uses new code | Is any event payable? Code appears after expiry | Reject, replace or review? ### Separate exposure from redemption A code can move beyond its intended audience through reposts, deal sites, private groups or a copied description. Monitor unexpected changes in code usage against placement dates and other campaign evidence, but do not label unexplained users fraudulent. A different traffic source is a prompt for investigation, not proof of misconduct. Keep link-based visits and code-based events in separate report columns, with a clearly described overlap treatment. Google’s campaign documentation supports tagging traffic origins; it does not turn tagged visits into proof of code causation. Avoid summing both columns into one acquisition total unless your reconciliation process removes records counted in each. Source: [Google Analytics — Campaign URL builders](https://support.google.com/analytics/answer/10917952?hl=en) ### Set a dispute process that preserves evidence Give creators a defined submission window and a standard evidence request. Useful material includes the approved placement, publication time, issued link and code, and a redacted disputed record reference. Do not ask creators to send customer identities in a shared chat. Route individual customer questions through the operator’s authorized process. Have a person who can inspect both configuration and contract wording review the dispute. Record the decision, rule applied and any correction required. If your implementation cannot answer a historical conflict, acknowledge the missing evidence and apply the agreed exception process. Do not invent certainty by treating the newest dashboard export as the entire history. ### Retire and replace codes deliberately Codes can outlive their scheduled campaign when content remains accessible. Set ownership for expiration, replacement and creator notification. Check how an expired code behaves on the destination page: a confusing error can create support demand, while an unintended extension can change the commercial scope. Any replacement offer needs the applicable market and platform review. The worksheet is a policy register, not a ready-made commission agreement. Fill in precedence, eligibility, validity and test evidence for each issued code. Recheck the policy after changing tracking providers or promotional software. A migration that keeps the visible code may still change the credit decision underneath it. ### Worksheet and questions [Download CSV](https://octomedia.agency/downloads/manager-guides/creator-promo-code-attribution-rules.csv) **Should a creator code always override a link?** There is no universal answer. Agree the precedence in the contract, confirm the software can implement it, and test a conflict before launch. **Can we pay on every redemption?** Only if that matches the signed terms and the event qualifies under them. A redemption alone does not establish a new customer or payable acquisition. **Does code leakage invalidate a campaign?** Not automatically. Investigate the distribution and compare the evidence with the agreed rules. Report uncertainty without assuming every unexpected redemption is abusive. ### Sources - [Scaleo — Affiliate page overview](https://help.scaleo.io/article/511-affiliate-page-overview): Documents affiliate postbacks and promo-code attribution. Test the final link with the actual redirects and device context. A good-looking page is not launch-ready when it loses campaign identifiers, hides material conditions or sends visitors to an unapproved destination. Campaign managers approving landing pages supplied by an operator or external production team. ### Start with the promise made in the placement Put the approved creator script beside the first screen of the destination. Compare brand, offer wording, dates, market, language and the action being requested. A visitor should not have to infer whether the page belongs to the same campaign. Record discrepancies as specific edits rather than a general request to improve conversion. Assign an operator owner to approve offer conditions and destination eligibility for the actual market. A landing-page checklist cannot establish that a gambling promotion is legal or permitted on its source platform. Resolve those decisions before usability work, and preserve the approved version so last-minute content changes can be checked against it. ### Inspect the journey on a real small screen Open the page from the placement preview on representative mobile devices. Check whether the main text is readable, controls respond, essential conditions are available and the on-screen keyboard obscures important fields. Test the back button and any error state that could trap a user in an incomplete journey. Google’s Web Vitals documentation provides a framework for loading, responsiveness and visual stability. Use those measurements to locate friction, then inspect the actual page. A performance score alone cannot tell you whether the offer is accurately described or a required notice is visible. Keep screenshots and measured observations tied to a page version. Source: [Google web.dev — Web Vitals](https://web.dev/articles/vitals) ### Turn approval into a reproducible matrix Use a row for each combination that matters: destination version, language, device, consent state and redirect path. You do not need every imaginable combination, but you do need a reason for the sample you choose. The illustrative matrix below focuses on failure modes that a desktop design review can miss. Write what should happen before testing. If a destination is unavailable to a market, verify the intended handling with an authorized test method rather than bypassing restrictions. If an offer is expired, verify the replacement message. Mark untested cases explicitly. Empty cells should not be mistaken for successful checks during a hurried launch meeting. Illustrative check | Evidence --- | --- Mobile first screen | Readable promise and visible action Redirect chain | Approved destination and retained identifiers Invalid form | Clear recoverable error Expired offer | Approved alternative message ### Preserve identifiers without exposing personal data Confirm that the approved campaign and affiliate fields survive the redirect chain and arrive where your implementation expects them. Keep this check separate from conversion-event QA; arriving with a click identifier is only one stage of the process. Use synthetic values and inspect the final URL and relevant redacted logs. Google’s privacy guidance warns against personally identifiable information in Analytics URLs and fields. Review form redirects and error pages because these may accidentally place user-entered information into the address. Ask the technical owner to resolve any such exposure before traffic starts. Do not copy real customer details into the QA worksheet to make a screenshot more realistic. Source: [Google Analytics — Avoid personally identifiable information](https://support.google.com/analytics/answer/6366371?hl=en) ### Make error handling part of the approval Test the expected failures: unavailable offer, broken image, invalid form input, delayed response and destination outage. Confirm who receives an alert and who can change the published link. A campaign can be recoverable when its normal path breaks, but only if the response has been agreed before the creator is live. Keep a reversible destination change procedure with an owner and a record of the previous approved URL. The replacement must receive its own eligibility and tracking checks. Do not improvise a redirect to a different brand merely because it loads successfully. Message continuity and commercial consent matter during recovery as much as during the first launch. ### Close the checklist with explicit exceptions A launch decision should distinguish passed checks, accepted limitations and unresolved blockers. Record who accepted each limitation, its likely effect and the follow-up date. If the conversion path cannot be measured or the offer conditions remain disputed, say so directly in the decision note. Vague approval language makes later accountability harder. Use the worksheet as the evidence index rather than a place to store customer data. Link to approved assets, synthetic test records and page screenshots. Repeat the relevant rows after changes to the offer, redirect service, consent implementation or page template. The useful output is a repeatable release gate, not a one-time claim that the page is optimized. ### Worksheet and questions [Download CSV](https://octomedia.agency/downloads/manager-guides/creator-campaign-landing-page-qa.csv) **Is a desktop screenshot enough to approve a page?** No. Check the actual journey on representative devices, including redirects and error states. A screenshot does not show whether a button or tracking field works. **Should we remove conditions to simplify the page?** Have the responsible owner approve the required information and its presentation. Usability work should make essential conditions easier to understand, not conceal them. **What should stop a launch?** Define blockers in advance. An unapproved destination, contradictory offer or broken primary journey should trigger a review rather than an improvised launch exception. ### Sources - [Google web.dev — Web Vitals](https://web.dev/articles/vitals): Defines Core Web Vitals performance dimensions. Certification is only one part of that review. YouTube restricts access to uncertified gambling services, prohibits guaranteed-return promises, and applies age restrictions to certain gambling content. Recheck the live rules for the exact campaign before committing spend or publishing. Brand and creator managers deciding whether a proposed YouTube integration can proceed. ### Review the exact destination and proposed content The primary policy checked on September 22, 2026 prohibits facilitating access to uncertified online gambling sites and guaranteed gambling returns. It covers more than clickable description links. Treat the spoken script, displayed branding, comments and any destination references as one review package. A change in link format is not a method for escaping policy. Our editorial workflow begins with an evidence folder containing the destination, operator entity, proposed formats and target jurisdictions. Ask the responsible compliance owner to verify current certification and legal eligibility. An account representative’s informal reassurance or a similar video remaining online is not enough to clear your particular campaign. Source: [YouTube — Illegal or regulated goods or services policies](https://support.google.com/youtube/answer/9229611) ### Separate platform review from market review A platform decision and a jurisdiction-specific advertising decision answer different questions. Record where the operator is authorized, where the creator produces the content and which audiences the plan seeks to reach. Have the qualified owner resolve those details under the applicable rules; do not infer worldwide permission from a license or a platform feature. For the commercial team, the practical output is a scoped decision: this operator, this destination, this format and these approved markets, with a review date. If any element remains unresolved, price and schedule the work conditionally. Do not require a creator to publish first while another team gathers the evidence needed to justify the placement. ### Check age restrictions without promising reach YouTube’s current regulated-goods policy includes age-restriction treatment for content depicting, promoting or facilitating access to online gambling and social or sweepstakes casinos, including certified sites. It describes conditional exceptions for some betting content. Do not convert those exceptions into a blanket claim about sports betting or live sport sponsorships. Use the synthetic review table to record evidence rather than declare automatic eligibility. The commercial implication is that planned distribution may differ from a creator’s ordinary content. Ask for an estimate that identifies assumptions and exclusions. Avoid guaranteeing a level of reach based on unrelated uploads whose format and restrictions do not match the proposed integration. Review question | Evidence to retain --- | --- Exact destination reviewed? | Current destination and responsible owner Content category assessed? | Script and format decision Age treatment understood? | Dated policy review Disclosure implemented? | Final publication evidence Source: [YouTube — Illegal or regulated goods or services policies](https://support.google.com/youtube/answer/9229611) ### Build disclosure into the approved production YouTube has separate branded-content restrictions and disclosure requirements. Check that page alongside the regulated-goods policy before production. A sponsorship disclosure does not cure an otherwise prohibited promotion, and an eligible destination does not remove the need to identify the commercial relationship appropriately. The brand and creator should review the same final draft. Our editorial recommendation is to put disclosure responsibilities into the production checklist, assign an owner for the platform setting and save evidence from the published version. Include the opening, sponsor segment, description and any other relevant surfaces in review. Do not rely on the contract alone to show what viewers actually encountered. Source: [YouTube — Branded content restrictions and disclosure labels](https://support.google.com/youtube/answer/154235?hl=en) ### Plan for edits and distribution changes Before booking, agree what happens if the reviewed destination changes, policy guidance changes or the final content cannot be published as proposed. Separate rescheduling, revised deliverables and cancellation decisions. A make-good should remain inside the approved scope; it should not silently move a restricted promotion onto another platform or into an unreviewed format. Keep creators informed of the stop conditions and give them a named decision-maker. During final review, compare the actual script and assets with the approved package, including improvised talking points. Record substantive changes. A faster approval cycle is useful only if the reviewer can see what changed and decide whether the earlier conclusion still applies. ### Keep a dated decision record The worksheet records the exact policy URLs, review date, evidence, unresolved questions and final owner. Use it for each materially different placement rather than reusing an old campaign approval indefinitely. Review again before publication and whenever the destination, commercial format or relevant rules change. This article is an operational review framework, not a certification service. After publication, preserve the approved asset and the live version, then monitor for material edits or removals through your normal campaign process. Report limitations honestly to the buyer. A policy-compliant production still needs sound measurement and a commercial plan; eligibility alone does not establish campaign performance or guarantee that future enforcement decisions will be identical. ### Worksheet and questions [Download CSV](https://octomedia.agency/downloads/manager-guides/youtube-gambling-sponsorship-eligibility-review.csv) **Does Google certification guarantee a sponsorship is allowed?** No. Review the content, branded-content rules, applicable local requirements and age-restriction treatment for the specific proposal. Certification is not a universal campaign approval. **Can a verbal mention avoid the destination rules?** Do not treat a different presentation format as an exemption. Review all methods of directing viewers to the destination against the current policy. **Is social casino content automatically unrestricted?** No. The policy checked for this article expressly includes social and sweepstakes casinos in its age-restriction examples. Review the actual content and current wording. ### Sources - [YouTube — Illegal or regulated goods or services policies](https://support.google.com/youtube/answer/9229611): Sets restrictions for gambling destinations and age-restricted content. The help-center guidance checked on September 22, 2026 limits sponsored gambling to licensed platforms in the relevant jurisdiction and requires disclosure and appropriate labelling. These conditions require campaign-specific evidence; the existence of gambling streams on KICK does not establish permission for your proposed sponsorship. Streamer managers and operator teams assessing a specific KICK sponsorship before booking. ### Identify the operator and jurisdiction before the creator Begin with the legal operator entity, destination domain, proposed sponsorship and relevant jurisdictions. KICK’s help-center summary explicitly connects sponsored gambling to licensed platforms in the relevant jurisdiction. Ask your qualified compliance owner to verify the evidence for your arrangement instead of accepting a general statement that the brand is licensed somewhere. Our editorial process records the exact scope reviewed and the date. If the destination or operator changes, reopen that decision. A different domain may be more than a cosmetic replacement. Creator selection and production planning can proceed conditionally, but nobody should treat a pending jurisdiction check as an approved campaign simply because the launch date is approaching. Source: [KICK — Understanding the community guidelines](https://help.kick.com/en/articles/15063647-understanding-kick-s-community-guidelines) ### Read the complete rules alongside the summary Use the official Community Guidelines together with the help-center explanation. The latter is a practical navigation aid; it does not replace the full rules or resolve every edge case. Keep the source links in the campaign worksheet and capture the wording relevant to the proposed format in your internal review record. Avoid relying on old articles, clips or assumptions about another platform. When an edge case remains unclear, send a precise question through the platform’s available support process and retain the answer. A narrow question about an identified destination and format is more useful than asking whether gambling sponsorships are generally allowed. Recheck before publication when circumstances change. Source: [KICK — Community Guidelines](https://kick.com/community-guidelines) ### Assign every visible disclosure surface KICK’s summary calls for clear affiliate disclosure, suitable age labelling and category selection, and use of its branded-content tool for paid partnerships. Convert the applicable requirements into a production checklist with named owners. Treat the title, overlay, description, pinned messages and spoken sponsor segment as distinct surfaces that can drift apart during a live stream. The illustrative matrix below is our editorial allocation of responsibility, not a substitute for the platform rules. Save evidence from the live presentation rather than only from a preflight document. If a moderator can change a pinned message, that person needs the approved text and an escalation route. Illustrative surface | Operational owner --- | --- Sponsor disclosure | Creator and campaign reviewer Pinned affiliate link | Moderator Age label and category | Channel owner Destination eligibility | Operator compliance owner Source: [KICK — Understanding the community guidelines](https://help.kick.com/en/articles/15063647-understanding-kick-s-community-guidelines) ### Set boundaries for live improvisation A live creator needs clear limits and a reachable decision-maker. The checked help guidance prohibits viewer-funded gambling buy-ins and participation by minors in gambling-related activities. Put relevant restrictions into a short briefing that the creator and moderators can actually use during the show, and remove concepts that depend on prohibited participation. Beyond those stated rules, our editorial recommendation is to rehearse how the stream handles unexpected chat requests, destination errors and unclear promotional claims. Give moderators an approved response and a process to pause the integration. Do not make a creator improvise policy interpretation while the sponsor is pressing for uninterrupted airtime. Source: [KICK — Understanding the community guidelines](https://help.kick.com/en/articles/15063647-understanding-kick-s-community-guidelines) ### Review the full distribution plan A livestream may create a recording, short clips and reposts with their own destinations and audiences. Decide which outputs are inside the agreement, who approves them and whether their new context needs a separate review. Approval for a KICK stream should not be interpreted as clearance for the same asset on every other platform. The commercial plan should also say what happens if eligibility remains unresolved or changes before the stream. Keep any replacement deliverable subject to fresh review. A clause promising equivalent exposure cannot establish that an alternate platform permits the promotion. Record the choices of rescheduling, revision or cancellation with the person authorized to make them. ### Use a go, revise or stop decision Close the review with one of three outcomes: approved within the recorded scope, revision required, or do not proceed. Attach unresolved questions to the second outcome and a clear reason to the third. Do not blur a missing evidence item into an informal approval. The worksheet gives the campaign team a place to see which owner must act next. Keep a current contact for the operator, creator and platform-related escalation. Review the exact link and branded assets again near publication. This article narrows the broader question of advertising on KICK to an operational eligibility gate. It does not provide a legal opinion, guarantee future enforcement outcomes or establish that a license covers all the audiences a stream may reach. ### Worksheet and questions [Download CSV](https://octomedia.agency/downloads/manager-guides/kick-gambling-sponsorship-eligibility-checklist.csv) **Does a KICK gambling category approve the sponsor?** No. Category selection is one production requirement. The specific operator, jurisdiction and commercial arrangement still need their own review. **Can we reuse another creator’s approval?** Use it only as context. Your destination, format, jurisdictions and timing may differ. Keep an approval record for the actual campaign. **What should we do with an unclear requirement?** Pause the affected part of the proposal, assign an owner and seek a specific clarification. Do not turn uncertainty into a promise to the creator or advertiser. ### Sources - [KICK — Understanding the community guidelines](https://help.kick.com/en/articles/15063647-understanding-kick-s-community-guidelines): Summarizes gambling, licensing, disclosure and channel responsibilities. Use comparable reporting windows and distinguish observed reach from overlap assumptions. When cross-creator deduplication is unavailable, present a scenario range and design a test rather than reporting a precise unique-audience total you cannot substantiate. Media buyers deciding whether another creator expands reach or mostly repeats existing exposure. ### Define the audience you want to add Write the decision as a specific question: will this creator add relevant adult viewers in the approved market during the campaign window? A channel’s total following does not answer that. Set the market, language, content format and time window before requesting screenshots so each candidate is evaluated against the same objective. YouTube’s audience documentation describes reports a channel owner can use to understand viewers. Ask creators for authorized, aggregated evidence with visible dates and metric labels. Do not request personal viewer lists. This is an editorial buying process, not a claim that a platform provides a complete cross-channel audience identity graph. Source: [YouTube — Understand your audience](https://support.google.com/youtube/answer/9314416?hl=en) ### Use comparable denominators Compare views with views and estimated unique viewers with estimated unique viewers. YouTube’s reach documentation distinguishes metrics used to understand viewing and discovery. If one media kit reports subscribers and another reports monthly viewers, the difference is not a performance insight until the underlying measures are aligned. Keep the source and reporting window beside every number. Record whether the figure describes the whole channel, a format, a particular video or an estimated campaign outcome. A sponsorship segment may reach only part of a video’s audience. Do not silently substitute channel reach for sponsor exposure, and do not compare a live peak with a month of unique viewers. Source: [YouTube — Understand video reach](https://support.google.com/youtube/answer/9314355?hl=en) ### Build a transparent overlap scenario The table uses synthetic audiences to illustrate the arithmetic only. Suppose Creator A reaches 20,000 people and Creator B reaches 15,000 in the same defined window. Combined unique reach equals A plus B minus the people reached by both. If the shared audience is unknown, do not present one guessed overlap value as measured fact. Model several plausible assumptions and label all of them assumptions. The additional reach from B changes with overlap, while the nominal follower count remains the same. Discuss whether the purchase still looks reasonable under the less favorable scenario. If the decision reverses easily, that uncertainty is a reason to run a smaller test before committing the full roster budget. Synthetic shared audience | Combined unique reach | Additional reach from B --- | --- | --- 0 people | 35,000 | 15,000 5,000 people | 30,000 | 10,000 10,000 people | 25,000 | 5,000 ### Separate repeated exposure from wasted spend Overlap is not automatically waste. A campaign seeking reinforcement may intentionally reach the same eligible audience through multiple trusted voices. The problem is buying reinforcement while reporting it as entirely new reach. Agree whether the next creator is meant to extend coverage, repeat a message or test a different creative approach. Measure the corresponding outcome. A repeated audience may respond differently to a second format, but that is a hypothesis until tested. Keep creative changes and audience changes visible in the analysis. When both change at once, acknowledge that you cannot confidently assign the result to either one without a stronger experimental design. ### Test incrementality with a feasible design Work with your analyst to choose a design your data can support: staggered activity, comparable market groups or another pre-agreed comparison. Document contamination risks, seasonality, concurrent promotions and the observation window. Avoid declaring causality from a simple before-and-after comparison when other activity changed at the same time. Before launch, write down what decision each possible outcome would trigger. If the test is too small to distinguish useful differences, treat it as a feasibility exercise and report that limitation. Use aggregated authorized data, and keep market and platform eligibility checks independent of the experimental design. A measurement plan cannot create permission to target an otherwise restricted audience. ### Build the roster decision around uncertainty Use the worksheet to record candidate evidence, denominator, reporting dates, overlap assumptions and expected additional reach. Include the commercial cost and the strategic purpose of the next placement. Rank candidates using the evidence you possess, not an invented precision that makes the spreadsheet look more decisive. After the campaign, replace assumptions with observations where the data allows and retain the rest as unresolved. Explain changes to the buyer: perhaps a smaller creator delivered a different audience, or a larger creator mostly repeated reach but improved message recall in a separately measured study. Do not imply either happened without evidence. The outcome is a more disciplined next purchase, not a universal overlap benchmark. ### Worksheet and questions [Download CSV](https://octomedia.agency/downloads/manager-guides/creator-audience-overlap-incremental-reach.csv) **Can we add unique-viewer counts from two channels?** Not to claim combined unique reach unless overlap has been removed using a valid method. Report the separate channel figures or an explicitly assumed scenario range. **Does similar content prove the audiences overlap?** No. Similar topics are a reason to investigate overlap, not a measurement of shared viewers. Use authorized evidence and state what remains unknown. **What overlap percentage is too high?** There is no universal cutoff. It depends on whether the goal is new reach or reinforcement, the cost of the placement and the quality of the available evidence. ### Sources - [YouTube — Understand your audience](https://support.google.com/youtube/answer/9314416?hl=en): Describes audience reports available to channel owners. URL: https://octomedia.agency/blog/in-house-vs-agency-creator-operations/ Language: en Author: Alexei Volkov — https://octomedia.agency/team/alexei-volkov/ Choose in-house, agency or a mixed model by the work your team must deliver and the capabilities it can reliably maintain. Compare complete operating costs, decision rights and continuity, not a salary against a retainer. Keep accountable owners inside the business for objectives, commercial approval and the regulated-market decisions that external support cannot simply make disappear. Acquisition leaders deciding how to staff creator sourcing, campaign delivery and reporting. ### Map the work before choosing the model List the recurring work: sourcing, audience checks, negotiation, production review, scheduling, live support, tracking QA and reconciliation. Estimate demand by campaign complexity and language coverage rather than creator count alone. One live integration with multiple approvals can require more coordination than several simple prerecorded placements. Identify tasks that need scarce expertise and tasks that mainly need reliable capacity. The UK Government Sourcing Playbook offers delivery-model and costing guidance for public services. We use that general procurement discipline as an analogy, not a legal requirement for private marketing teams. The recommendation here is editorial: compare the actual service you need before deciding who should employ the people doing it. Source: [UK Government — The Sourcing Playbook](https://www.gov.uk/government/publications/the-sourcing-and-consultancy-playbooks) ### Measure internal capacity honestly Ask the current team how many hours remain after existing responsibilities, then compare those hours with the new workload. Name the person who covers holidays, absences and late changes. An internal model is not fully staffed when its critical work depends on one employee being available during every stream. Identify which capabilities the business wants to retain over time. Relationships, reporting definitions and approval history can be strategic even when external specialists do much of the daily work. Make ownership deliberate. If your employees cannot explain the campaign’s commercial rules without asking a supplier, you may be outsourcing more decision authority than you intended. ### Compare full costs with a synthetic example The illustrative table compares a hypothetical monthly scope using invented numbers, not market prices. The internal option includes allocated staff, tools and specialist support. The agency option includes the fee plus retained internal oversight. Creator fees are excluded from both for this example because the same assumed amount would apply to either model. In a real comparison, include all costs that change: hiring, onboarding, weekend coverage, travel, procurement, reporting and transition. Show ranges for uncertain workload. Do not conclude that the cheaper illustrative total is automatically better; the options must meet the same service expectations and risk tolerances before price becomes a useful comparison. Synthetic monthly cost | In-house | Agency-supported --- | --- | --- Allocated staff or agency fee | 8,000 | 9,000 Tools or retained oversight | 1,000 | 2,000 Specialist support | 2,000 | 0 assumed Illustrative total | 11,000 | 11,000 ### Retain clear approval responsibilities An agency can prepare evidence and manage production, but the agreement should say who approves market eligibility, offer accuracy, contracts and publication. The US FTC’s influencer disclosure guidance illustrates why commercial relationships need clear public disclosure in its relevant jurisdiction. It is not a worldwide gambling advertising rule. Have the appropriate owner identify requirements for each actual market. Write a short responsibility map with one final owner for each decision. Avoid assigning approval jointly to everyone, which can mean nobody acts. Include the urgent path for a live problem and the person authorized to pause activity. The same map should work whether the delivery team is internal, external or mixed. Source: [US FTC — Disclosures 101 for Social Media Influencers](https://www.ftc.gov/business-guidance/resources/disclosures-101-social-media-influencers) ### Test a mixed model when uncertainty is high A mixed arrangement can place sourcing or production coordination with a specialist while keeping measurement and commercial decisions internal. It can also fail if the handoffs are unclear. Define what a complete creator recommendation contains, when an approval request is ready and what evidence arrives after publication. Run a bounded pilot with explicit deliverables and review the operating friction as well as campaign results. Track late briefs, repeated approvals, missing reports and emergency interventions. These observations reveal whether the model fits your organization. Do not attribute every poor outcome to the supplier when internal approvals or incomplete operator data are causing the delays. ### Plan continuity and exit before expansion Whichever model you choose, preserve the campaign register, approved assets, relationship history and measurement definitions in systems the business can access. Specify export formats and transition assistance in an agency agreement. For an internal team, document processes and avoid tying essential accounts to one employee’s personal access. Use the worksheet to compare capability, cost, owner and continuity for each workflow. Set a review trigger such as a new market, a change in campaign volume or repeated service failures. Reassessing the operating model is normal as needs evolve. The strongest decision is one you can explain with observed workload and explicit tradeoffs, rather than a belief that one staffing model always performs better. ### Worksheet and questions [Download CSV](https://octomedia.agency/downloads/manager-guides/in-house-vs-agency-creator-operations.csv) **Is an agency always faster to launch?** No. Speed depends on capacity, relevant relationships, access and your own approval process. Ask for a scoped delivery plan and test the handoffs. **Which work should remain internal?** Keep named accountability for objectives, budgets and final decisions. The exact execution split depends on your expertise, contracts and regulatory responsibilities. **How should we compare a retainer with salaries?** Compare the complete cost of delivering the same scope, including oversight, tools, specialist support and continuity. A salary and a retainer alone are not equivalent service units. ### Sources - [UK Government — The Sourcing Playbook](https://www.gov.uk/government/publications/the-sourcing-and-consultancy-playbooks): Provides public-sector delivery-model and evaluation guidance, used as an analogy rather than a private-sector requirement. Give every bidder the same scope, assumptions and pricing structure, then evaluate capability against pre-agreed criteria. Request a small practical example instead of a large unpaid strategy project. An effective RFP exposes dependencies, exclusions and ownership before the commercial relationship begins. Procurement and marketing leads commissioning an agency for regulated creator campaigns. ### Publish a scope bidders can actually price State the approved or proposed markets, languages, platforms, formats, campaign period and expected operating responsibilities. Separate confirmed facts from assumptions. If operator eligibility is still under review, say so explicitly and ask bidders to identify what can proceed conditionally. Do not force an agency to guess the scope and then compare its guess with another supplier’s different interpretation. Our editorial framework borrows general evaluation discipline from the UK Government Sourcing Playbook, which is guidance for public services rather than a requirement for this private procurement. The practical principle is to make the requested service and assessment criteria clear before proposals arrive. Keep the brief concise enough that delivery staff can use it. Source: [UK Government — The Sourcing Playbook](https://www.gov.uk/government/publications/the-sourcing-and-consultancy-playbooks) ### Ask for evidence tied to the actual work Request a redacted example of a creator recommendation, approval tracker and campaign report. Ask the bidder to explain what each artifact lets a manager decide. A logo slide may establish claimed experience, but it does not show how the team will investigate a tracking discrepancy or handle a late content change. Verify references through an authorized process when needed. Provide a small synthetic scenario: one creator, one proposed market and a changed destination before publication. Ask who checks eligibility, who contacts the creator, what evidence is preserved and who can pause the placement. Evaluate reasoning and handoffs, not the production value of a speculative pitch. Do not request confidential records from another client. ### Make the fee structure comparable Require separate lines for agency service, creator costs, production, reporting, optional rights and pass-through expenses. Ask whether any markup applies and what triggers an extra fee. Include the same assumptions about revisions, live support and reporting periods for every bidder. This makes exclusions visible before the cheapest-looking proposal wins on an incomplete scope. The illustrative scoring table is an editorial starting point, not a proven predictor of agency performance. Set weights internally before reading bids and define what evidence earns each score. Keep mandatory eligibility and data-handling requirements outside the weighted total. A persuasive presentation should not compensate for a missing requirement that makes delivery unacceptable. Illustrative criterion | Weight | Evidence --- | --- | --- Delivery method | 30% | Practical scenario and handoffs Measurement quality | 25% | Sample report and definitions Team capability | 25% | Named team and relevant evidence Commercial clarity | 20% | Itemized comparable scope ### Specify compliance and disclosure handoffs Ask bidders to describe how they gather platform and market evidence, obtain operator approval, brief creators and check publication. The US FTC disclosure guide is a primary reference for US endorsement considerations; it does not resolve gambling permissions in every country. Your responsible reviewers must identify the actual requirements for the proposed destinations and audience. Name the final approval owner inside the buying organization and the agency person who prepares the review package. Specify the escalation path when a rule is unclear or a destination changes. Avoid language suggesting that hiring an agency transfers all responsibility. A useful proposal should explain the boundaries of its service and the decisions it needs you to make. Source: [US FTC — Disclosures 101 for Social Media Influencers](https://www.ftc.gov/business-guidance/resources/disclosures-101-social-media-influencers) ### Define access, reporting and ownership Say which systems the agency may access, what reporting data it will receive and how customer information must be protected under your approved arrangements. Request sample exports and a reporting dictionary. Define delivery evidence separately from performance: a published placement, an attributed event and an incremental outcome are different claims requiring different support. Confirm who owns approved assets, campaign records and relationship information, subject to the actual rights negotiated with creators. Include access removal and handover at termination. A buyer should be able to continue understanding historical campaigns after a supplier changes. Do not assume that a shared dashboard automatically provides a complete, portable record of the work. ### Run a short, fair evaluation process Issue one deadline, one clarification channel and a common response format. Share material scope clarifications consistently with bidders. Have evaluators score independently before discussing differences, then use interviews to resolve evidence gaps. Document the final tradeoff instead of editing weights after seeing a favored agency’s proposal. Use the downloadable worksheet to record each requirement, evidence reference and owner. Before appointment, convert the accepted proposal into a statement of work covering deliverables, dependencies, fees, approval timing, change control and exit. The RFP helps select a partner; the signed scope must carry its useful detail into delivery. Revisit unresolved conditions before authorizing the first campaign rather than assuming selection itself closed them. ### Worksheet and questions [Download CSV](https://octomedia.agency/downloads/manager-guides/igaming-creator-agency-rfp-template.csv) **How long should an agency RFP be?** Long enough to define scope, evidence, fees and decision rules without burying them in background material. A concise brief with structured appendices is usually easier to compare. **Should we ask for a free campaign strategy?** Use a small bounded scenario to assess judgment. A full speculative strategy can consume substantial work while still failing to show day-to-day delivery capability. **Can we select on the lowest fee?** Only after confirming that the scope, exclusions and required capability are comparable. Evaluate the complete cost and the evidence needed to deliver the work. ### Sources - [UK Government — The Sourcing Playbook](https://www.gov.uk/government/publications/the-sourcing-and-consultancy-playbooks): Provides public-sector delivery-model and evaluation guidance, used as an analogy rather than a private-sector requirement.
